Davis H. Elliot Company, Inc. is seeking a Compliance Coordinator, Fleet to support and maintain regulatory compliance across fleet operations. This role ensures adherence to DOT regulations, company policies, and safety standards while maintaining accurate records and supporting audit and reporting processes. The ideal candidate is detail-oriented, organized, and able to manage multiple priorities in a fast-paced environment.

Overview

The Compliance Coordinator, Fleet is responsible for supporting fleet compliance efforts by maintaining documentation, ensuring regulatory adherence, and partnering with internal teams to minimize risk and maintain operational efficiency. This role works closely with Fleet, Operations, and Safety to ensure compliance with federal, state, and company requirements while supporting audits, reporting, and continuous process improvement.

A Day in the Life
  • Maintain compliance with federal, state, and local regulations, including DOT requirements
  • Maintain fleet records including registrations, permits, inspections, and compliance documentation
  • Maintain and monitor Driver Qualification Files (DQFs) to ensure required documentation is current
  • Track driver licenses, medical certifications, and required qualifications
  • Ensure all compliance data is accurate, organized, and easily accessible
  • Maintain accurate records in Spectrum and support ERP data entry and cleanup for reporting
  • Oversee the fuel card system (WEX), including issuing cards and monitoring activity
  • Issue notices regarding equipment recalls and maintain proper documentation

    Assist with regulatory reporting requirements and audit preparation
  • Support incident and accident tracking, documentation, and follow-up
  • Monitor compliance trends, identify risks, and support process improvements
  • Work cross-functionally with Fleet, Operations, and Safety teams
  • Communicate compliance requirements and respond to internal inquiries
  • Perform other duties as assigned
Qualifications & Skills
  • Working knowledge of DOT regulations
  • Strong attention to detail and organizational skills
  • Ability to manage multiple priorities and meet deadlines
  • Strong communication skills in a professional setting
  • Proficiency in Microsoft Office
  • High school diploma or equivalent
  • Bachelor’s degree in Business, Logistics, HR, or related field preferred
  • 2+ years of experience in fleet, compliance, or transportation-related role preferred
  • Intermediate Excel skills or willingness to learn
  • Experience supporting audits or regulatory reviews preferred
  • Familiarity with fleet or compliance systems preferred
  • Knowledge of FMCSA requirements preferred
  • Strong time management, communication, and problem-solving skills
