Job Summary

Responsible for providing administrative payroll and human resources support for the Athletics Department, for processing payroll activities, monitoring employee time entry and approvals, coordinating payroll actions, supporting hiring processes for student and temporary employees and ensuring accurate and timely compensation for Athletics personnel. Serves as a resource for payroll procedures, timekeeping practices, and employment transactions while providing support for operational and compliance requirements.

All University of Kentucky Athletics Department employees are required to conduct themselves in accordance with the rules, regulations, and policies of the National Collegiate Athletic Association (NCAA), the College Sports Commission (CSC), the Southeast Conference (SEC), the University, and any other applicable regulatory body.

Essential Functions
  • Monitors time for employees in a dual system role using UKG and SAP systems.
  • Monitors and enters time for Stat Crew members, Events and Hospitality Staff, Hourly Staff, and Students in both the UKG system and SAP system to ensure Workers are paid correctly and in a timely manner.
  • Prepares and sends out bi-weekly notifications to all staff with time-entry and payroll reminders.
  • Processes all payroll actions for UK athletics to ensure all policies and procedures are followed, and employees are paid correctly and in a timely manner.
  • Proactively monitors time approval screens in SAP as well as timecards in UKG during payroll, reminding managers to approve time, research and reconcile payroll discrepancies prior to the approval process.
  • Oversees and resolves all payroll issues from employees and students regarding payroll policies, payroll time, and payroll procedures.
  • Completes PARs for student new hires, rehires, pay adjustments, additional assignments and end of assignment actions.
  • Manages hiring, pay adjustments, separations for temporary employees in Workday.
  • Creates separation actions in a timely manner in both systems to ensure up-to-date and accurate employee records.
  • Assists in completing I-9's for new staff and temporary hires in Workday.
  • Assists business office with payroll sorting at the end of each pay period to assist with monthly budget reconciliation.
  • Assist business office with entering employee taxable information before payroll deadlines.
  • Provides daily administrative support to Student-Athlete Services staff, including academic counselors, tutors, and program leadership, and serves as a primary point of contact for facility operations and visitor engagement.
  • Coordinates front-facing operations within the CATS facility, managing high-volume interactions with student-athletes, staff, recruits, families, and visitors while ensuring a professional and organized environment.
  • Supports operational needs including monitoring office supplies, coordinating room reservations, and assisting with maintenance and functionality of office equipment and systems.
  • Assists with student-athlete support processes, including scholarship check distribution, tracking attendance and fines related to tutor sessions, and preparing student organizational materials.
  • Provides support for tutor and mentor programs, including assisting with scheduling, reporting, and backup coordination in the absence of program leadership.
  • Coordinates ordering, distribution, and tracking of required course materials for student-athletes and tutors, including managing purchases, maintaining records, and supporting compliance-related documentation.
  • Processes tutor and mentor payroll documentation, including reviewing submitted hours, identifying discrepancies, and ensuring accurate and timely payroll support.
  • Supports student-athlete programming and events, including coordination of workshops, recognition programs, and departmental initiatives, and assists with research and reporting on academic or program related topics.
  • Performs other duties as assigned.
Education Requirement

Bachelor's Degree required.

Experience Requirement

2 years of experience in human resources, payroll administration, business operations, accounting, finance, personnel administration, or a related field. Experience processing payroll transactions and utilizing HRIS, payroll, or timekeeping systems preferred. Experience with SAP, Workday, UKG, or similar enterprise systems preferred. An equivalent combination of education and experience may be considered. All experience must be paid and in the same related field.
