Overview
The HVAC Service Dispatcher with experience coordinating field technicians, managing high-volume service schedules, and optimizing routes for efficiency and customer satisfaction. Skilled in HVAC dispatch operations, work order management, customer communication, and real-time scheduling using field service management software. Proven ability to support technicians, improve response times, and maintain accurate service records in fast-paced service environments.
Responsibilities- Schedule, dispatch, and route HVAC service technicians based on priority, skill set, location, and availability.
- Monitor technician schedules in real time and adjust for emergencies, delays, or cancellations.
- Coordinate same-day and next-day service calls efficiently.
- Gather accurate service details and enter work orders into the system.
- Provide appointment confirmations, arrival windows, and updates to customers.
- Create, update, and close service tickets in dispatch or field service software.
- Track technician status enroute, on-site, or completed.
- Communicate clearly with technicians regarding job expectations, parts availability, and schedule changes.
- Assist with after-hours or emergency dispatching as required.
- Maintain service KPIs such as On-time arrival rate, First-time fix rate, Customer satisfaction, and Jobs completed per day.
- High school diploma or GED required
- 1–3+ years of dispatching or scheduling experience (HVAC, plumbing, electrical, or field service preferred)
- Strong organizational and multitasking skills
- Excellent verbal and written communication skills
- Ability to remain calm in fast-paced, high-volume environments
- Strong customer service and problem-solving abilities
- Proficient in Microsoft Office and dispatching software (Service Titan, Field Edge, Service Fusion, or similar)
