Job Description
Summary:
Provides receptionist/clerical support ensuring patient flow, comfort and satisfaction. Primary responsibilities include but are not limited to: answering phones utilizing a computerized system, directing calls appropriately, scheduling patient appointments in the electronic medical record (EMR) system, data entry of patient information and insurance verification, providing support to staff members as assigned. The Office Specialist is well organized, highly motivated, customer service oriented, expresses good communication skills, and has strong computer knowledge and skills.
- RECEPTIONIST RESPONSIBILITIES (70%)
- Greets patients at arrival, initiates appropriate paperwork, completes patient registration, insurance verification, and collects co‑payments.
- Obtains pre‑authorization from insurance companies, interacts with physician offices and third parties to obtain necessary paperwork.
- Updates patient chart electronically or on paper, obtains signatures, files paperwork, notifies clinical associates of patient arrival.
- Answers multi‑line phone system, screens and directs calls to appropriate office associate, ensures appropriate phone coverage.
- Provides general office and clerical support including faxing, completion of disability and FMLA forms, attorney request letters, patient record releases, industrial claims forms, and related tasks.
- Works industrial claims in EMR, attaching dictation, adding diagnosis allowances and authorization numbers.
- Assists in keeping patient charts organized and filed, including scanning and document tracking into EMR.
- Attends staff meetings and continuing in‑house education seminars.
- ORGANIZATIONAL/OFFICE RESPONSIBILITIES (30%)
- Sorts, distributes, and mails transcription as assigned.
- Orders and stocks office supplies.
- Ensures office equipment is clean and well‑maintained.
- Provides support to appropriate staff members as assigned.

Minimum Qualifications- High School diploma or GED (required).
- 1‑2 years of previous secretarial experience in health care or medical office, or equivalent combination of experience and training.
