The Opportunity

Position Overview: Central Kentucky Sedation is seeking a dynamic and highly organized Medical Office Manager to oversee the day-to-day operations of our mobile anesthesia services. The ideal candidate will possess strong leadership skills, a solid understanding of healthcare business management, and experience in the anesthesia or medical field.

As Central Kentucky Sedation’s Medical Office Manager you will play a pivotal role in managing case day schedules, client relationships, and team coordination across multiple Pediatric Dental Practices. This is a full-time position offering a competitive salary and benefits, with occasional travel to various locations throughout Central Kentucky.

A Day In the Life Of

Key Responsibilities:

Operational Coordination:

  • Create, manage, and optimize client block schedules for all partner pediatric dental practices.
  • Build and maintain provider schedules aligned with client blocks, clinical capacity, and geographic efficiency.
  • Develop and manage clinical team schedules to ensure appropriate staffing for each service day.
  • Coordinate schedule changes, cancellations, and add-on opportunities while minimizing disruptions to practices and providers.
  • Monitor utilization, case volume, and scheduling efficiency to support growth and consistency.
  • Serve as a leader to the Business Administrator by setting expectations, providing guidance, and supporting professional development.

Financial Oversight

  • Collaborate with the Regional Director of Operations to review and track key operational and financial KPIs, identifying trends and opportunities for improvement.
  • Review and approve invoices, vendor payments, and travel reimbursements.
  • Provide oversight and support to the Business Administrator to ensure accurate and timely insurance, billing, and administrative operations.

Client Relationship Management:

  • Serve as the primary point of contact for clients, fostering strong, long-term relationships with dental offices and their teams.
  • Address and resolve client inquiries, concerns, and feedback, ensuring a high level of customer satisfaction.

Team Leadership & Coordination:

  • Work closely with the CMO to support a team of medical professionals, including anesthesiologists, CRNAs, RNs, and paramedics.
  • Assist the CMO with coordinating team meetings, providing feedback, and supporting professional development to maintain a motivated and skilled workforce.
  • Manage timecard approvals, PTO submissions, employee onboarding, and offboarding.
  • Oversee the compliance portal and collaborate with the CMO to ensure all team members are current on required courses and recertifications.
  • Support employee engagement initiatives, including planning and coordinating team events.
  • Serve as a point of contact for employee feedback, escalating issues or concerns to leadership as appropriate.
What You'll Bring To The Table

Experience:

  • 3–5 years of experience in business management, preferably within healthcare or a medical field is ideal
  • Proven experience managing a team and overseeing operations
  • Strong financial management background, including billing and medical insurance knowledge.

Skills:

  • Excellent organizational and time-management skills with the ability to prioritize multiple tasks in a fast-paced environment.
  • Strong leadership and interpersonal skills with the ability to motivate and manage a diverse team.
  • In-depth understanding of healthcare regulations, medical billing, and compliance standards.
  • Exceptional verbal and written communication skills.
  • Proficiency with business management software and tools (e.g., Microsoft Office Suite, Tableau, Asana, practice management software).

Additional Requirements:

  • Ability to travel to various client locations within Central Kentucky as needed.
  • Ability to work independently and collaboratively within a team.
  • Strong customer service orientation with a commitment to high-quality care and service.
