Overview

The HVAC Service Dispatcher with experience coordinating field technicians, managing high-volume service schedules, and optimizing routes for efficiency and customer satisfaction. Skilled in HVAC dispatch operations, work order management, customer communication, and real‑time scheduling using field service management software. Proven ability to support technicians, improve response times, and maintain accurate service records in fast‑paced service environments.

Responsibilities
  • Schedule, dispatch, and route HVAC service technicians based on priority, skill set, location, and availability.
  • Monitor technician schedules in real time and adjust for emergencies, delays, or cancellations.
  • Coordinate same‑day and next‑day service calls efficiently.
  • Gather accurate service details and enter work orders into the system.
  • Provide appointment confirmations, arrival windows, and updates to customers.
  • Create, update, and close service tickets in dispatch or field service software.
  • Communicate clearly with technicians regarding job expectations, parts availability, and schedule changes.
  • Assist with after‑hours or emergency dispatching as required.
  • Maintain service KPIs such as on‑time arrival rate, first‑time fix rate, customer satisfaction, and jobs completed per day.
Qualifications
  • High school diploma or GED required.
  • 1–3+ years of dispatching or scheduling experience (HVAC, plumbing, electrical, or field service preferred).
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication skills.
  • Ability to remain calm in fast‑paced, high‑volume environments.
  • Strong customer service and problem‑solving abilities.
  • Proficient in Microsoft Office and dispatching software (Service Titan, Field Edge, Service Fusion, or similar).
