Position Summary
The Accounting Specialist supports all areas of school finance, working closely with the Assistant Head for Finance & Operations to ensure accurate, timely recording of transactions. Key responsibilities include tuition management, accounts payable, purchasing, general ledger reconciliations, and supporting various financial processes across the school.
Essential Functions- Manage student records and tuition payments via Ravenna, communicating with families regarding delinquent accounts or questions.
- Assist with tracking the Before and After School Program Income and creating related forms.
- Fundraising - record and track donations, including wire transfers, website donations, and checks; reconcile with Development.
- Process accounts payable invoices and prepare weekly check runs.
- Place orders for faculty and staff through Amazon or other approved vendors.
- Receive and verify incoming orders, notifying teachers when items are ready for pickup.
- Maintain and reconcile general ledger account activity, resolving discrepancies as needed.
- Perform monthly reconciliations of Balance Sheet and Income Statement accounts, creating journal entries as necessary.
- Reconcile cash on a monthly basis.
- Support employees with the Medical and Dependent Care Flexible Spending Programs during open enrollment.
- Collaborate on budgeting, special projects, and financial analysis with the Assistant Head of Finance and Operations.
- Assist with annual financial audits, Form 990 filings, and MA state tax returns.
- Communicate effectively with faculty, staff, students, and families as needed.
- Bachelor's degree in accounting or related field, with 3-5 years of experience in nonprofit accounting preferred.
- Proficiency with Quick Books, Microsoft Excel, Word, Google Sheets, and Google Workspace.
- Ability to manage multiple tasks and projects while adhering to deadlines.
- Strong written and verbal communication skills.
- Problem solving skills and attention to detail.
- Ability to maintain confidentiality with sensitive information.
- Primarily desk-based; requires walking between campus buildings daily.
- Ability to lift packages weighing up to 20 lbs.
