Job Description

Position Title: Assistant to the Registrar

FLSA: Non-Exempt

Reports to: Lexington High School/K-12 Director of Counseling

Terms of Employment: Administrative Staff – 10 months – Class B with benefits according to the LEA Unit D collective bargaining agreement. 37.5 hours per week.

Starting Date: Aug 31, 2026

August 31, 2026 start date. FY26 salary scale may change based on completed negotiations.

Unit D Salary Range 23‑26

Employee performs a variety of routine and complex administrative, clerical, financial and other duties to support the operations of the office.

Essential Functions
  • Provides extensive customer service in person, via email and telephone; answers questions, troubleshoots a range of department-related issues.
  • Performs data entry and manipulation for a variety of programs, primarily in SCOIR software.
  • Uploads forms, transcripts and application results into SCOIR.
  • Generates reports.
  • Collects, compiles and performs data entry for annual school profile.
  • Processes grade changes and updates grade point average as needed.
  • Assists in the processing of work permits.
  • Assists with education verification of former students.
  • Conducts monthly billing of transcript requests.
  • Assists in organizing, managing and maintaining the cumulative record files.
  • Assists in processing transcript requests.
  • Enters prior coursework for students transferring into LHS.
  • Assists the counseling department in a variety of ways including troubleshooting systems.
  • Participates in special projects.
  • Performs a variety of related duties.
  • Other duties as assigned.
Education and Experience

High school diploma or equivalent and 1–3 years of experience in administrative, clerical, financial or secretarial work, preferably in a school environment; or any equivalent combination of education, training, certification and experience.

Must have knowledge of department regulations, policies, programs and operations; and knowledge of office management principles and practices, and computer systems, word processing, spreadsheet, and database software such as Aspen, Google, and SCOIR.

Ability to establish and maintain effective and harmonious working relationships with the public, officials and department personnel; ability to work independently in an efficient manner; ability to communicate effectively in written and oral form; ability to establish and maintain a record‑keeping system; ability to operate a telephone and standard office equipment; ability to manage multiple tasks in an efficient manner; ability to deal tactfully with disgruntled people.

Skill in operating computers and applicable word processing and statistical applications; excellent customer service skills. Must have strong record keeping, bookkeeping, secretarial, organization, communication and customer service skills.
