Office Manager / Office Administrator

The Office Manager / Office Administrator provides essential administrative and operational support to ensure the smooth functioning of daily office activities and clinical research operations. This role maintains an organized work environment, coordinates meetings and logistics, supports document and records management, and assists internal teams with a wide range of administrative tasks. The position plays a key role in enhancing office efficiency and creating a collaborative, professional workplace experience, while consistently presenting a polished front-office presence in both demeanor and attire.

Responsibilities
  • Oversee daily office operations and maintain a clean, organized, and efficient working environment.
  • Coordinate administrative tasks, including scheduling meetings, managing calendars, and handling correspondence as assigned.
  • Assist with meeting setup by preparing meeting rooms, arranging seating, organizing technology and materials, and ensuring all logistical details are addressed.
  • Manage lunch orders for meetings, including coordinating delivery or pick-up and ensuring timely arrival.
  • Handle meeting room clean up after meetings, maintaining a tidy, professional, and welcoming environment for staff and visitors.
  • Support clinical research teams with document management, filing, and regulatory compliance paperwork as requested.
  • Manage office supplies, equipment, and inventory to ensure adequate stock levels and proper functioning of office resources.
  • Perform data entry, clerical tasks, and general administrative assistance to support internal teams and overall office operations.
  • Provide courteous and professional customer service to visitors, callers, and staff, representing the front office with a high level of professionalism.
  • Collaborate with colleagues to improve administrative processes and contribute to a positive, collaborative office culture.
  • Complete additional administrative and operational tasks as assigned.
Essential Skills
  • Proven experience in office management or administrative support, preferably in healthcare or pharmaceutical settings.
  • Strong administrative support skills, including office management, office administration, and office coordination.
  • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
  • Experience with data entry, clerical tasks, filing, and document management.
  • Excellent organizational skills with the ability to manage multiple tasks and priorities effectively.
  • Strong multitasking and time management abilities in a fast-paced environment.
  • Effective written and verbal communication skills with strong interpersonal abilities.
  • Ability to provide professional customer service and front office support.
  • High level of attention to detail and commitment to accuracy in all tasks.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • High school diploma or equivalent.

Skills & Qualifications
  • Associate or bachelor's degree is preferred.
  • Previous administrative or office management experience in clinical research, healthcare, or pharmaceutical environments is highly desirable.

Work Environment

This is an on-site role in a professional office setting that supports clinical research operations. On-site presence is required, with priority office days typically on Tuesday, Wednesday, and Thursday. The environment involves frequent interaction with internal teams and visitors, use of standard office equipment, and daily use of Microsoft Office applications such as Word, Excel, Outlook, and PowerPoint.
