GENERAL SUMMARY

Coordinates the operational implementation of department-wide programs, communications, and community engagement initiatives that improve access to Human Services for residents of all ages. Supports the planning and delivery of educational opportunities, special events, and outreach efforts by working collaboratively across Senior Services, Youth & Family Services, Veterans' Services, Transportation, and with community partners. The position plays a key role in connecting divisional efforts, coordinating department communications, supporting program implementation, and expanding educational opportunities that promote health, wellness, mental health, financial literacy, caregiver support, aging in place, and overall community well-being.

Essential

Functions
  • Coordinates and supports the implementation and evaluation of department-wide programs, workshops, educational opportunities, and special events in collaboration with divisional staff.
  • Works collaboratively with divisional staff and community partners to expand educational programming and community engagement opportunities that promote health, wellness, mental health, financial literacy, caregiver support, aging in place, and overall well-being for residents of all ages.
  • Coordinates the development and distribution of the Human Services newsletter and department calendar. Establishes publication deadlines, gathers and organizes content from divisional staff, prepares materials for publication, and ensures programs, services, and events are communicated accurately and on time.
  • Maintains a department-wide annual calendar of programs, events, and initiatives, coordinates scheduling across Human Services divisions to minimize conflicts, and identifies opportunities for collaboration.
  • Coordinates program logistics including registration setup, MyRec scheduling, room reservations, presenter agreements, supply coordination, and other administrative support needed for successful program delivery.
  • Assists with implementing Human Services programs and special events by providing logistical and operational support before, during, and after events.
  • Coordinates program information, marketing materials, and event details for newsletters, website updates, social media, and other communications in collaboration with the Community Engagement Coordinator and divisional staff.
  • Coordinates program-related administrative and financial processes, including obtaining required vendor documentation, W-9 forms, vendor setup information, invoices, and other required paperwork; works with the Office Manager to facilitate timely payment processing; and tracks program expenditures within established budget allocations while keeping divisional staff informed of spending.
  • Maintains organized records of program vendors, presenters, community organizations, and other partners to support future planning and continuity.
  • Coordinates department programming meetings, maintains shared planning documents, and tracks timelines and action items related to department programming and initiatives.
  • Maintains records, participation data, and program documentation to support grants, departmental reports, budget development, and reporting requirements.
  • Regular attendance at the workplace is required.
  • Performs other similar or related duties as required or as the situation dictates.
Supervision

Supervision Scope:
Performs varied and highly responsible functions requiring extensive independent judgment in ensuring conformance with applicable laws, regulations, collective bargaining agreements and departmental policies.

Supervision Received:
Works under general supervision of the Human Services Director within a broad scope of established policies and procedures. Functions independently, referring specific problems to supervisor only where clarification or interpretation of town policy or procedure is required.

Minimum Qualifications Education, Training and Experience

Associate's degree in human services, social work, or related field; and one to three (1-3) years of increasingly responsible related experience with older adults; or any equivalent combination of education and experience.

Special Requirements

Knowledge:
Knowledge of local, state, and federal rules and regulations. Knowledge of department programs and operations and area human services, issues, and programs. Knowledge of modern office methods, practices, and computer equipment.
