GENERAL STATEMENT OF JOB
Performs as the telephone operator, receptionist, and as an administrative support to the central office. Requires independence and detailed knowledge in the functionality of the switchboard. Requires meeting the public in a polite and professional manner. Assistance with work in other departments is required when needed and time available. Work generally requires that employees in this class handle day-to-day unsupervised responsibilities.
Independence of action is required as well as a high level of self-initiative in performing activities. General knowledge of system responsibilities, individual supervisor responsibilities, procedures and guidelines is required. Guides may include a variety of written manuals and instructions, as well as oral instructions. Judgment is required in referring questions and/or persons to the appropriate supervisor. Decisions on unprecedented situations are referred to the most appropriate personnel.
Processes incoming mail to insure forwarding to appropriate personnel and/or department. Employees in this classification report directly to a higher-level supervisor or directly to the Department Head and are evaluated by the Department Head on the quality and effectiveness of their work and performance.
- Serves as receptionist to parents, business representatives, news media, and/or employees.
- Receives inquiries from individuals and forwards to the appropriate personnel; forwards incoming mail and/or correspondence to central office employees.
- Handles confidential items, requests, and/or materials.
- Operates a word processor, telephone switchboard, and other office equipment.
- Performs administrative support duties as assigned by supervisor to assist other departments as time available.
- Serves as first-line communication between initial and subsequent contacts of individuals with the system.
- Screens and routes materials according to content of communications.
- Provides backup assistance to other departments.
Performs other related work as required.
MINIMUM TRAINING AND EXPERIENCE- Knowledge of office practices and procedures.
- Bilingual speaker preferred.
- Considerable knowledge and ability to use correct grammar and vocabulary.
- Ability to communicate effectively in person, in writing, and by telephone.
- Ability to gather and give detailed information and instructions on departmental programs, procedures, and policies on inquiries.
- Ability to learn knowledge of departmental programs and duties of all central office personnel.
- Ability to be tactful, courteous, and succinct in providing information on requests and inquiries.
- Ability to operate word processor, copier, or other office equipment.
- Ability to use judgment in establishing priorities for work assigned or work responsibilities delegated.
- Ability to establish and maintain effective working relationships with supervisors, school-based employees, and other department employees.
- Ability to ascertain workloads of fellow employees and to assist others when needs arise to maintain effectiveness of overall department functions.
- Must possess the visual acuity to prepare and analyze data and figures, operate a computer and determine the accuracy, neatness, and thoroughness of the work assigned. Some roles in this class…
