Key Responsibilities Front Desk & Client Operations- Oversee daily front desk operations, including scheduling, phone coverage, client check-in/check-out, and client communications
- Ensure a welcoming, organized, and professional environment for clients and families
- Monitor appointment flow and support providers with administrative coordination
- Address client inquiries, concerns, and administrative needs in a timely and compassionate manner
- Coordinate onboarding for new employees, interns, and contractors
- Conduct administrative training related to scheduling systems, EHR use, office policies, HIPAA compliance, and workflow procedures
- Ensure completion of required onboarding documentation and internal checklists
- Serve as a point of contact for new staff questions related to office operations
- Track client balances, copays, deductibles, and outstanding collections
- Ensure timely collection of client payments and follow-up on outstanding balances
- Collaborate with billing specialists or external billing companies as needed
- Maintain accurate records related to payments and financial workflows
- Oversee daily operations of the office(s), ensuring efficiency and organization
- Maintain office policies, procedures, and operational workflows
- Monitor compliance with internal procedures and confidentiality standards
- Support leadership with administrative reporting and operational problem-solving
- Monitor inventory and order office supplies, clinical materials, and equipment as needed
- Ensure offices are stocked, clean, and function appropriately
- Coordinate with vendors, maintenance, and service providers as needed
- Assist leadership with administrative tasks, scheduling, and internal coordination
- Maintain organized records, files, and documentation
- Support team communication and collaboration across departments
- Identify opportunities to improve efficiency, organization, and office systems
- Strong organizational and multitasking skills
- Excellent communication and interpersonal abilities
- High level of professionalism and discretion
- Ability to handle sensitive and confidential information (HIPAA compliance)
- Proficiency in office software, EHR systems, and scheduling platforms
