The Cal Poly Leadership & Service area consists of the Center for Leadership, the Center for Service in Action, Clubs & Organizations, Fraternity & Sorority Life and the College Corps Program which support the development of student leadership and service on campus and in the surrounding community. Under the direction of the Ameri Corps Programs Assistant Director, the Administrative Coordinator provides support to the Coastal California Civic Leadership Consortium College Corps Program at Cal Poly. The Administrative Coordinator provides high-quality customer service, interprets and applies existing policies and procedures, maintains attention to detail and timeliness, and supports reporting, bookkeeping, and accounting duties.

This role provides general administrative support for College Corps including but not limited to; front desk and office organization, social media management, marketing, communications, and event logistics coordination to ensure College Corps program maintains operational efficiency and compliance with program requirements. With the support of leadership, the Administrative Coordinator leads coordination of College Corps events and logistics and supports the recruitment, training, and daily supervision of student assistants working with the team.

This position works with partner campuses, host agencies, staff and faculty stakeholders, and Corps members to collect and organize data to ensure the compliance with reporting and other requirements for the grants that support these programs, and their potential ongoing renewal. All staff of the College Corps program team should be committed to the ongoing personal and professional development of students, assessing risk for member activities and working conditions of members, establishing and maintaining cooperative working relationships with constituents on-and off-campus, and performs effectively under the pressure of deadlines and other administrative demands.

Duties and Responsibilities:
  • Coordinate administrative functions of the Coastal California Civic Leadership Consortium College Corps program at Cal Poly, for its student fellows, consortium and community host partners.
  • Provide financial support to Assistant Director, and Administrative Analyst in processing invoices for payment (Accounts Payable), Deposits (Accounts Receivable), reconcile P-card for payment request and prepare travel claims for reimbursement/payment
  • Reconcile vendor statements to paid/outstanding invoices.
  • With support from the College Corps Administrative Analyst and Coordinator team, Lead planning and logistics for annual College Corps events: space reservations, scheduling, communications, hosting, registrations, day-of logistics.
  • Serve as primary contact to California Volunteers event contractors: coordination of regional Mid-Year event
  • Assist the Administrative Analyst to recruit, train and supervise student assistants for the Coastal California Civic Leadership Consortium
  • Develop and implement social media content calendars aligned with program goals.
  • Create engaging posts and graphics for various platforms (e.g., Facebook, Twitter, Instagram).
  • Monitor social media channels for engagement opportunities and respond to inquiries.
  • Coordinate the development of marketing materials such as flyers, newsletters, and digital campaigns.
  • Coordinate promotional activities to raise awareness and participation in program initiatives in collaboration with divisional marketing specialists and utilizing campus brand guidelines
  • Maintain office operations; order and stock supplies, inventory control, coordinate facility maintenance needs, mail distribution, and organization of file system and access.
