The following are tasks to be performed by the Documentation Control Specialist. The duties are not limited to this list. Any additional requirements, changes, or deletions will be at the discretion of the Director of Quality. To perform this job successfully, an individual must be able to perform each essential responsibility and duty satisfactorily.
SUMMARY: The Document Control Specialist is responsible for the integrity, accuracy, and deployment of all controlled documentation supporting manufacturing operations. This role serves as a critical link between Engineering, Quality, and Production to ensure that all process documentation reflects current conditions on the shop floor and supports consistent, repeatable product quality. This critical role will actively engage in engineering change management, process standardization, and quality system compliance within a high-mix, custom manufacturing environment.
RESPONSIBILTIES:
- Creates & makes updates to the BPM procedures, flowcharts and docs.
- Scans in and stores material certifications.
- Attaches electronic documents to the ERP system.
- Helps ensure that all documents in the system have proper document control (ie correct doc numbers issued, revision levels/dates, doc approvals and revision history).
- Collaborates with engineering and manufacturing teams to create, format, release, and maintain controlled documents including: standard work instructions (SWI's), control plans, inspection instructions and forms and records.
- Collects list of essential items such as CAD drawings, tool lists, setup sheets, inspection sheets, fixtures, and gauges for reporting in the SWI
- Manages document control items in Quality Management System (QMS) and Enterprise Resource Planning (ERP)
- Collaborates with Engineering and Production to ensure documents reflect actual processing conditions.
- Ensures proper revision control, approval workflows, and document traceability.
- Ensures timely and accurate implementation of changes to all affected documentation.
- Verifies alignment across drawings, BOM's, routings, control plans and SWI's.
- Supports contract review and flow-down requirements into production documentation.
- Documents all handling, setup, deburring, packaging, and other critical steps to ensure repeatability
- Manages the process lock-out list for products requiring extra control
- Assists QA personnel with the creation and revision of final inspection documents when needed
- Participates in all team meetings, company-wide trainings and continuous improvement as appropriate
- Creates an environment of mutual trust and respect with direct reports, co-workers and inter-departmental leads

- Assists QA & manufacturing personnel in documenting and following up on open corrective actions when assigned.
- Performs regular audits to verify current documents and revisions are in use.
- Maintains clean, organized filing systems
- Coordinates training requirements related to document revisions.
- High School Diploma or GED
- Experience in manufacturing environment preferred
- Ability to work with a high degree of accuracy and recall
- Ability to work effectively with others
- Excellent written, verbal and digital communication skills (Word, Excel)
- Ability to multi-task and adapt to changing environments and demands
- Time-management and prioritization skills
- Experience with QMS and ERP
- Must be able to work effectively with others.
- Ability to document an existing or new process/practice into an electronic work instruction template.
- Computer literate; must have the ability to use MS Word, Excel.
- General knowledge of manufacturing processes and digital camera a plus.
