Position SummaryWilliam Jewell College’s College of Graduate, Professional and Innovative Programs (CGPI) is seeking a responsive, organized Student Operations & Admissions Coordinator to serve as the primary point of contact for students and applicants and to manage day-to-day operational flow across programs and partners. This role oversees admissions processing, student communication, intake, issue resolution, and operational coordination — ensuring timely, accurate, and responsive support throughout the student lifecycle.

Core Responsibilities Admissions Processing & Coordination- Review and process applications and supporting documents.
- Evaluate application completeness and transcript receipt.
- Execute admissions processing and maintain accurate applicant records in Colleague.
- Maintain and prioritize admissions queues to ensure timely turnaround.
- Coordinate with partners regarding admissions status and missing requirements.
- Escalate complex or non-standard admissions cases as needed.
- Manage shared inboxes and respond to student and applicant inquiries.
- Serve as the primary point of contact for operational questions and next steps.
- Provide timely, accurate, and professional communication.
- Ensure all communication loops are closed.
- Review incoming requests and determine appropriate next steps.
- Investigate issues across systems (Colleague, LMS, Airtable, and related platforms).
- Resolve issues independently whenever possible.
- Escalate complex cases with complete context and supporting information.
- Track and manage open student and applicant issues through resolution.
- Follow up regarding:
- missing documents
- financial hold communication
- unresolved inquiries
- operational next steps
- Maintain organized tracking systems to ensure nothing falls through the cracks.
- Support operational workflows across programs and partners.
- Prepare data and tracking support for registrar-related processes as needed.
- Maintain accuracy across operational systems and trackers.
- Identify recurring issues and contribute to process improvements.
- Maintain accurate records across Airtable, Notion, Colleague, and related systems.
- Identify inconsistencies and support data cleanup efforts.
- Ensure operational trackers remain current and organized.
- Strong communication and customer service skills.
- Ability to manage multiple priorities in a fast-paced environment.
- High level of urgency, responsiveness, and follow-through.
- Strong problem-solving and investigative mindset.
- Ability to work independently and make decisions within established guidelines.
- This role focuses on operational flow, admissions processing, communication, and issue resolution. It is not responsible for:
- Final registrar decisions regarding enrollment verification, registration eligibility, or D&C execution.
- Academic policy interpretation.
- Institutional records authority.
