Office Administrator/ Coordinator
Position Summary
The Project Assistant supports project managers and field teams by coordinating documentation, schedules, and communication throughout construction projects in Liberty, MO.
Responsibilities- Compile and format submittals with the Project Managers
- Request close‑out documents and assist in preparing Operation & Maintenance Manuals
- File, track, and log safety logs, daily logs, budgets, and weekly planning forms
- Conduct initial pricing for change orders for approval by the Project Manager
- Track change orders, RFIs, and submittals through project duration
- Update meeting schedules and active job lists
- Secure permits and assist in licensing requirements for projects
- Make travel arrangements and complete expense reports for team members
- Assist in monitoring labor rates and hours
- Facilitate communication between subcontractors, vendors, and customers as needed
- Attend weekly Foremen meetings as required
- File project documents (hard and soft copies)
- Perform additional duties as assigned
- Maintain relationships with staff, operations personnel, vendors, and suppliers
- Resolve problems affecting production schedules
- Resolve complaints and grievances with vendors and suppliers
- Ensure accuracy of work
- Conform to procurement policies and procedures
- Achieve established goals and objectives set by the manager
- Complete tasks and assignments in a timely manner
- High school diploma or equivalent (required)
- Proficiency in Microsoft Word and Excel (required)
- Effective verbal and written communication skills (required)
- Exceptional multi‑tasking and follow‑through skills (required)
- Experience in construction office support (preferred)
- Familiarity with Microsoft Project (preferred)
