Job SummaryThe Executive Assistant provides comprehensive administrative support to the company CEO. This role is responsible for managing schedules, coordinating travel and meetings, and handling confidential information to enhance executive effectiveness and ensure the smooth operation of the leadership team.

Enable the CEO to operate at peak effectiveness by expertly managing schedules, communications, and operational workflows; coordinating cross‑functional initiatives; and proactively anticipating needs to ensure strategic priorities are executed with precision, efficiency, and confidentiality.
Specific Duties / Responsibilities- Manage dynamic calendars, including scheduling, prioritizing, and adjusting meetings across multiple time zones.
- Coordinate domestic and international travel, itineraries, logistics, and expense reporting.
- Prepare executives for meetings by organizing agendas, briefing materials, and follow‑up actions.
- Serve as a gatekeeper, ensuring the CEO's time is used effectively and aligned with strategic priorities.
- Support cross‑functional initiatives by tracking deliverables, deadlines, and action items.
- Assist with project‑management tasks, including documentation, meeting notes, and progress updates.
- Partner with Operations, Revenue, Finance, HR, and other teams to ensure smooth execution of key programs.
- Draft and edit internal and external communications, presentations, and reports.
- Act as a liaison between executives and internal/external stakeholders, ensuring timely and clear communication.
- Build strong relationships across the organization to facilitate information flow and collaboration.
- Anticipate executive needs and proactively identify opportunities to improve efficiency.
- Conduct research, gather data, and prepare insights to support decision making.
- Maintain confidentiality and handle sensitive information with the highest level of discretion.
- Demonstrate consistent accuracy and efficiency in managing complex calendars, ensuring meetings and priorities are well‑organized and aligned.
- Ensure travel, itineraries, and logistics are planned and executed smoothly, supporting executives’ productivity and minimizing disruptions.
- Provide timely, well‑organized agendas, materials, and follow‑up actions that enable executives to be fully prepared and informed.
- Effectively coordinate with internal teams, ensuring deliverables, action items, and shared initiatives progress smoothly and on schedule.
- Maintain clear, professional, and timely communication with internal and external stakeholders, supporting strong relationships and information flow.
- Consistently handle sensitive information with discretion while anticipating needs and identifying opportunities to improve executive efficiency.
- Demonstrates excellent written and verbal communication skills.
- Possesses strong organizational and time‑management abilities, with a proven capacity to prioritize tasks and meet deadlines in a fast‑paced environment.
- High level of professionalism, discretion, and emotional intelligence.
- Proficiency with productivity tools (Microsoft 365, Teams, Excel, PowerPoint, project‑management platforms).
- Ability to work independently, think critically, and solve problems proactively.
- Comfortable navigating ambiguity and adapting quickly to shifting priorities.
- 5+ years of experience supporting senior executives, preferably in a high‑growth or fast‑paced environment.
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 40 pounds at times.
- Able and willing to travel as needed.
