The role involves coordinating project documentation, communicating with Project Managers and Foremen, and ensuring smooth day‑to‑day operations on‑site and in the office.

Position Summary

The Project Assistant supports project managers and field teams throughout the lifecycle of construction projects. Responsibilities include coordinating documentation, maintaining schedules, tracking progress, and facilitating communication between internal teams, suppliers, and vendors. The role is detail‑oriented, proactive, and thrives in a fast‑paced environment. It ensures that projects run smoothly, efficiently, and in compliance with company standards and client expectations.

Position Responsibilities
  • Compile and format submittals in coordination with Project Managers.
  • Request close‑out documents and assist in preparation of Operation & Maintenance Manuals.
  • File, track, and log safety logs, daily logs, budgets, and weekly planning forms.
  • Conduct initial pricing for change orders for approval by the Project Manager.
  • Track change orders, RFIs, and Submittals through the course of the project.
  • Update meeting schedules & active job lists.
  • Secure permits and assist in licensing requirements for projects.
  • Make travel arrangements and complete expense reports for team members.
  • Assist in monitoring labor rates and hours.
  • Assist with communication between subcontractors, vendors and customers as required.
  • Attend weekly Foremen meetings as required.
  • File project documents (hard and soft copies).
  • Perform other duties as assigned.
Performance Accountabilities
  • Build relationships with staff, operations personnel, vendors and suppliers.
  • Resolve problems affecting production schedules.
  • Resolve complaints and grievances with vendors and suppliers.
  • Ensure accuracy of work.
  • Conform to procurement policies and procedures.
  • Achieve established goals and objectives set by the manager.
  • Complete tasks and assignments on time.
Position Requirements
  • High school diploma or equivalent.
  • Proficiency in MS Word and Excel.
  • Effective verbal and written communication skills.
  • Exceptional multi‑tasking and follow‑through skills.
  • Experience in construction office support (preferred).
  • Familiarity with MS Project (preferred).
