The Purchasing Agent is responsible for sourcing, negotiating, and procuring materials, supplies, and services that support the organization's operational needs. This role manages the full purchasing cycle, including vendor selection, price negotiation, purchase order creation, and delivery coordination. The Purchasing Agent evaluates supplier performance, and identifies opportunities to reduce costs while maintaining quality standards. Success in this position requires strong analytical skills, attention to detail, and the ability to build effective relationships with internal teams and external suppliers.

Build and maintain long-term relationships with vendors and suppliers. Approve purchase orders and organize and confirm delivery of goods and services. Oversee and manage the tracking of shipments, inventory, and the supply of goods. Develop procurement strategies that are inventive and cost-effective. Maintain updated ETA dates for all open purchase orders. Review purchase orders for accuracy of product, quantity, price, delivery date, and payment terms.

Complete purchase orders using designated software as required. Facilitate disputes between the Supplier and the organization. Monitor markets and forecast appropriate changes that affect pricing, delivery and quality, compile relevant actions and recommendations to minimize negative market conditions and capitalize on positive market trends. Monitor Supplier Performance and take actions where required. Communicates all vendor programs, contracts, and problems to the Purchasing Manager.

Conducts formal Request for Quotation (RFQ) processes within Purchasing Agent authority by soliciting quotes from suppliers for specified products and services in compliance with regulations/laws relative to the purchasing profession (contained in the Purchasing Policies and Procedures Manual).

Bachelor's degree in supply chain management, logistics, or business administration. Minimum 3 years previous experience managing supply chain operations. Strong proficiency in Microsoft Office Suite. In-depth contract review and negotiation. Previous management experience. Multi-tasking and time-management skills, with the ability to prioritize tasks.
