Role
Greets and directs members to appropriate staff or department. Performs a variety of support duties related to the lending functions within the credit union. Answers basic lending questions from borrowers and internal staff regarding loan queries. Responsible for maintaining quality control measures with loan files and documentation.
Essential Functions- 20% Maintains loan files on a daily basis, files new loans after review for accuracy and completeness by the Loan Supervisor, and maintains file of loans pending new LOC, cancels and files paid loans, maintains security for loan files. Processes and funds approved loan applications placing emphasis on response time, quantity of applications, and quality of error‑free loan documentation.
- 15% Welcomes all members, prospective members, visitors, and general public in a courteous manner and directs members and public to appropriate department for servicing. Assists members in scheduling appointments. Responds to telephone inquiries on member loan accounts, loan programs, pay offs, etc. and conducts research as required.
- 15% Maintains record pertaining to the Collateral Protection Program (CPP) and responds to member inquiries relating to CPP. Maintains the Debt Protection Program records and assists members with Debt Protection claim inquiries and forms. Processes Debt Protection in a timely manner. Processes research requests/retrievals on source documents, microfiche, microfilm, optical. Reviews and processes various daily Synergy reports.
- 15% Processes incoming and outgoing titles for auto loans. Works directly with the insurance monitoring company, insurance agents, and members to maintain and update insurance policies on all loans that require collateral insurance. Processes vehicle total loss claims. Processes SSI and AVS asset verification requests. Prepares old and paid loan files for annual document destruction.
- 10% Conducts daily errands to the post office, DMV, banks and other companies. Prepares and processes thank‑you letters for paid‑off loans. Receives, opens, and distributes incoming mail under dual‑control procedures and prepares teller mail for posting. Prepares and delivers outgoing mail.
- 10% Operates copy, scanner, and facsimile machines, keeps an up‑to‑date file of incoming documents, transmits materials and documents, ensures sufficient paper supply, and reports equipment problems to supervisor. Provides typing and clerical support to the loan department. Assists branch offices with loan‑file research requests. Prepares responses to account verification requests.
- 5% Serves as backup to the Mortgage Loan Processor in preparing and processing loan payoffs and HELOC recalculations; may perform file maintenance and prepare advance vouchers for HELOC advances conducted via in‑branch, mobile app or home banking.
- 5% Verifies all information on newly opened and closed loans. Enters membership information into the computer terminal to assist the start of loan applications for individuals waiting to be seen by a Loan Counselor.
- 5% May be required to serve as Notary Republic. Other functions and duties may be required as needed by the Department. Acts as a quality‑control review on newly funded loans by Loan Counselors.
Must comply with all company policies and procedures, applicable laws and regulations, including but not limited to the Bank Secrecy Act, the Patriot Act, and the Office of Foreign Assets Control. Assumes accountability in data protection.

Associate’s degree from an accredited college or high‑school graduate plus one year of office/clerical experience.
