Volunteer Operations Manager
Responsibilities- Manage volunteer assignment & utilization: match volunteers to roles based on skills, availability, and organizational needs; ensure active contribution.
- Volunteer lifecycle management: support onboarding, active engagement, transitions/offboarding; provide a structured and consistent experience.
- Capacity planning & workforce coordination: identify volunteer needs across teams, ensure proper coverage, and align capacity with organizational priorities.
- Cross‑functional coordination: collaborate with HR (recruitment & onboarding), Programs (placement & execution), and Operations (workflow alignment); integrate volunteers into teams.
- Engagement & retention: monitor volunteer engagement levels, identify and address drop‑off or disengagement, and improve retention through structure and communication.
- Tracking & reporting: track volunteer assignments, activity, and utilization; provide visibility into capacity and performance.
- Process development & standardization: build and improve processes for volunteer placement, tracking, and engagement; ensure consistency across the organization.
- Communication & coordination: maintain clear communication with volunteers and teams; ensure expectations are understood; support alignment and accountability.
- Problem‑solving & gap management: identify gaps in volunteer coverage or utilization, reassign or adjust as needed, and ensure continuity in operations.
- Continuous improvement: improve how volunteers are used across the organization, strengthen systems and workflows, and support scaling of volunteer operations.
- Thinks in people, systems, and utilization.
- Highly organized and detail‑oriented.
- Can manage multiple moving parts.
- Strong communication and coordination skills.
- Thrives in a fast‑moving, cross‑functional environment.
- 3–5 years of experience in operations, volunteer management, or workforce coordination.
- Strong organizational and communication skills.
- Experience managing multiple workflows or people.
- Experience in nonprofit or volunteer‑based organizations.
- Experience working in remote teams.
- Familiarity with tracking or workforce tools.
- 10–15 hours per week.
- Flexible schedule (aligned to volunteer and operational needs).
- Participation in coordination meetings required.
- Fully remote.
- Experience managing volunteer operations at scale.
- Exposure to cross‑functional coordination.
- Opportunity to build systems for people and capacity.
- Development in operations and leadership.
- Must be able to start within 14 days.
