Overview
We are a third‑party pension administration and consulting firm specializing in retirement plan compliance, including 401(k), Profit Sharing, Cash Balance, and Defined Benefit Plans.
We are seeking a detail‑oriented, process‑driven Plan Administrative Representative to manage a portfolio of retirement plan clients. This role is focused on compliance, calculations, regulatory filings, and client servicing, primarily through written communication.
The ideal candidate possesses strong analytical skills, attention to detail, and the ability to manage multiple accounts in a deadline‑driven environment.
Key Responsibilities- Manage all aspects of retirement plan administration for assigned clients
- Serve as the primary point of contact for clients, advisors, and CPAs
- Coordinate and manage annual data collection and processing cycles
- Collect, review, and analyze employee census data
- Perform eligibility, vesting, and contribution calculations
- Conduct compliance testing (ADP/ACP, nondiscrimination, top‑heavy, coverage)
- Prepare government filings (Form 5500, 5330, and 8955)
- Perform trust accounting and asset reconciliation
- Identify discrepancies and elevate issues when necessary
- Process distributions, loans, and Required Minimum Distributions (RMDs) (with review)
- Collaborate with actuaries for Defined Benefit or Cash Balance plans
- Maintain workflow tracking and meet strict deadlines
- Deliver professional, timely, and client‑focused communication (mainly via email)
- Pension administration knowledge, benefits, retirement plans
- Compliance and regulatory expertise
- Advanced Excel and data analysis
- Strong attention to detail
- Time management and prioritization
- Written client communication skills
- Problem‑solving and error detection
- Process adherence and documentation
- 2 years of experience in pension administration or related field (preferred)
- Experience managing multiple client accounts (highly preferred)
- Proficiency in Microsoft Excel, Word, and Outlook
- Excellent written communication skills (email‑focused role)
- Advanced English proficiency
- Strong analytical, mathematical, and accounting skills
- High level of organization and attention to detail
- Ability to meet strict deadlines and multitask
- Ability to work independently and in a team environment
- College degree preferred
$1,378 - $2,200 a month
