Administrative Secretary - Library Media Services (Stansberry Leadership Center)
The Administrative Secretary supports the Library Media Services Department by coordinating projects, maintaining records, facilitating communication with staff, students, and district personnel, and providing broad clerical support.
Responsibilities- Track district and elementary library budgets, capital outlay requests, and expenditures.
- Assist with summer program scheduling and other departmental projects.
- Attend meetings, take minutes, and compile reports.
- Compile data on staff, enrollment, budgets, pricing, and building work orders.
- Contact vendors for previews, purchase decisions, and coordinate purchasing/payment for district‑wide materials and services.
- Coordinate K‑12 library department meetings, including invitations, food, media needs, minutes, and posting to the library folder.
- Maintain manual and electronic documents such as budgets, purchase orders, calendars, directories, subscription lists, and online databases.
- Manage district library accounts for capital outlay, materials, supply, travel, Title V Federal funds, and technology.
- Order supplies for multiple sites and ensure availability.
- Prepare correspondence, reports, and other materials documenting activities.
- Provide expenditure details for Missouri core data reports.
- Research and arrange online services (price checks, usage trials, troubleshooting).
- Rotate barcode scanners for inventories and manage deselection information.
- Track material orders, back‑orders, returns, and periodicals.
- Assist with other related duties as assigned.
- High School diploma or equivalent.
- Proficiency in operating office equipment, software applications, accurate record‑keeping, and typing.
- Basic math skills and ability to solve practical problems.
- Knowledge of office software, bookkeeping, English grammar, Dewey Decimal Classification, cataloging, and MARC records.
- Ability to schedule activities, collaborate, manage data, work independently, and interact courteously with the public and employees.
- Required clearance:
Criminal Justice Fingerprint/Background Clearance. - Citizenship, residency, or work visa required.
Job‑related experience with increasing responsibilities is preferred.
Position DetailsFull‑time, Non‑Exempt. Salary: $21.36 to $30.20 per hour. Starting date:
July 1, 2026. No additional certifications or continuing education specified.
