Position Summary

Ensure all customer orders meet company compliance standards and Delegation of Authority (DOA) requirements. Responsible for validating order accuracy, auditing customer purchase orders, and serving as a key control point between Sales, Finance, and Operations to protect order integrity and support efficient order processing.

Essential Functions
  • Ensure all orders are processed in compliance with company policies, Delegation of Authority (DOA), and contractual requirements.
  • Accurate processing of Partner orders.
  • Validate purchase orders ensuring PO information matches and is correct on all orders such as vendor name, remittance information, payment terms, FOB information, shipping details, and pricing.
  • Validate account information is correct and updated, including confirming parent, definitive, and GPO linking.
  • Own and maintain the integrity and accuracy of customer order entry from submission through fulfillment, ensuring alignment between customer requirements, internal systems, and downstream billing processes.
  • Assist internal departments to ensure all orders are closed correctly and following internal checklists and processes.
  • Act as liaison between various Fall and Senior Living Sales representatives and internal Finance and Operations departments.
  • Communicate with partners pre‑ and post‑sale, implement process enhancements to streamline business metrics.
  • Coordinate Partner RMAs, short product disputes, pricing disputes.
  • Coordinate, schedule and prioritize customer sales orders with team members daily.
  • Collaborate with sales representatives, within North America and internationally, on daily inquiries.
  • Provide prompt service to Partners/Customers; respond to incoming calls and emails regarding product orders, inquiries, shipments, returns/exchanges and other pertinent information.
  • Track and document order discrepancies, RMAs, and customer issues to support resolution and continuous process improvement.
Additional Responsibilities
  • Provide back‑up and additional support to other departments as needed.
  • Process direct orders as needed.
  • Cross‑train to cover Sales Order Compliance Coordinator activities when required.
  • Act as a back‑up by administering all sales/office duties in Management's absence, which may include handling difficult customer orders, complaints, return policies, accounts receivable questions and decisions.
  • Other duties as assigned.
Required Qualifications
  • 1‑3 years customer service, data entry and clerical experience.
  • Professional phone skills with ability to speak to key accounts.
  • Ability to understand and explain all company product lines, service, support, and company credit/shipping policies after training.
  • Excellent written and verbal communication skills.
  • Self‑motivated, able to work independently and as part of a team.
  • Ability to work in a high‑demand environment.
  • Strong organizational skills, attention to detail, and ability to prioritize and balance workload to meet deadlines.
  • Ability to handle multiple priorities.
  • Basic knowledge of Microsoft Word, Excel, PowerPoint and Outlook.
Preferred Qualifications
  • Database and/or Salesforce experience.
  • Experience working in an order entry software program.
  • Experience working with international parties.
