Nebraska Wesleyan University seeks a highly organized, detail-oriented, and adaptable Administrative Assistant to provide comprehensive support to the President and Provost. This pivotal role serves as the front-facing presence of both offices and is essential to ensuring efficient daily operations, professional interactions, and seamless coordination across campus and with external partners.
The ideal candidate is proactive, flexible, and skilled at managing multiple tasks in a fast‑paced environment. A high level of discretion and professionalism is required, along with a warm, welcoming demeanor that reflects the values of Nebraska Wesleyan University. This non‑exempt (hourly) position reports to the Executive Assistant to the President and Provost.

- Manage complex calendars and schedules for the President and Provost, including coordinating meetings, events, and travel arrangements
- Serve as the primary point of contact for the President's and Provost's offices, greeting visitors and answering phones
- Monitor and assist with email communications and meeting requests as directed
- Coordinate logistical and administrative support for meetings, campus events, and special initiatives, including Board of Governors activities
- Support institutional events such as Opening Week, Matriculation Convocation, and Commencement
- Assist with administration tasks including maintaining schedules and records
- Provide administrative support to senior administrative leadership as needed
- Ensure smooth day‑to‑day office operations and contribute to a positive, service‑oriented environment
- Exceptional organizational skills and a strong attention to detail
- Demonstrated ability to manage multiple tasks and competing priorities with accuracy and efficiency
- High level of discretion and experience handling confidential and sensitive information
- Strong interpersonal and communication skills with a professional, welcoming presence
- Ability to adapt quickly, remain flexible, and problem‑solve in a dynamic environment
- Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, SharePoint, and Teams
- Experience supporting senior leaders is preferred; however, candidates with demonstrated success in high‑demand administrative roles requiring similar levels of organization, discretion, and multitasking are strongly encouraged to apply
