Full-time:
Day schedule, 8:00 a.m. – 4:30 p.m. (occasionally early arrival or late departure).
Provides administrative support for the HR department and the administrative center. Conducts orientation tours and presents information to new hires. Handles multiple tasks simultaneously and is responsible for tasks as assigned. Supports the Village’s mission, values, and service/hospitality (P.R.I.D.E.) expectations. Completes training as required by policy.
Essential Job Functions- Coordinates and compiles employment files of new hires and tracks conditional status; assists with new‑hire paperwork.
- Provides support for HR reporting and other functions, including filing, researching, querying, compiling information, verifying data, and other tasks as assigned.
- Inputs new‑hire data into the database.
- Photographs and creates associate s for new hires and replacement badges when requested.
- Assists in maintaining active and separated associate files, including I‑9 filing.
- Conducts orientation tours.
- Coordinates orientation catering arrangements and tour transportation.
- Co‑facilitates orientation and modules as assigned.
- Sets up and/or adjusts direct deposits/Global Cash Card.
- May assist with onboarding tasks.
- Answers incoming calls and provides information/assistance via phone or in person to associates, visitors, clients/vendors, residents, and their families.
- Resets system passwords and assists with RELIAS Learning issues to determine the exact nature of technical problems and implements remedial procedures.
- Coordinates RELIAS Learning logistics: training setup, scheduling, enrollments, reports, and record maintenance.
- Distributes and tracks reminder emails to associates and leaders related to health, wellness, and performance management.
- May assist associates with use of MyJKV as needed.
- Provides administrative support to the Human Resources department as needed.
- May create and distribute correspondence to associates.
- Adheres to all safety regulations and requirements.
- Handles stress well and maintains positive workplace conduct with coworkers and customers.
- High school education or general education degree (GED) required. Associate’s degree in business‑related coursework preferred.
- Current driver’s license required.
- One to two years of administrative support experience in a Human Resources environment.
- UKG system experience preferred.
- Intermediate, working knowledge of MS Windows and MS Office (Word, Excel, Outlook).
- Strong written communication skills, including the ability to compose clear sentences, paragraphs, and correspondence.
- Ability to apply common sense to carry out detailed but straightforward written or oral instructions.
- Excellent communication, active listening, problem‑solving, and interpersonal skills.
- Integrity, professionalism, confidentiality, and empathy in all interactions.
All associates may be called upon to assist other departments in a declared emergency situation.
Physical and Mental Demands- Ability to exert up to 10 lbs of force occasionally and move objects frequently; involves sitting most of the time with occasional walking, standing, stooping, kneeling, crouching, or squatting.
- Requires close visual acuity for tasks such as preparing and analyzing data, transcribing, and extensive reading.
- May need to stoop, bend, crawl, and reach; frequent sitting.
- Ability to walk and move around the workplace.
- Must be able to speak and hear.
Receives direction from the Manager of Training & Development. Gives no direct supervision.
