General Functions

The Office Logistics Coordinator is responsible for the day-to-day operations of Soarin Group's office, ensuring the workplace is organized, efficient, and fully equipped to support employees and clients. This role serves as the operational backbone of the office by managing inventory, coordinating facilities, maintaining company assets, supporting administrative processes, and assisting leadership with operational initiatives.

This position works proactively to identify operational needs, improve office efficiencies, and ensure employees have the tools and resources necessary to provide exceptional service.

Essential Duties & Responsibilities
  • Oversee the daily operations of the office to ensure a clean, organized, and efficient work environment.
  • Serve as the primary point of contact for office administrative needs.
  • Coordinate incoming and outgoing mail, UPS/Fed Ex shipments, deliveries, and package distribution.
  • Maintain office supplies, breakroom supplies, and equipment inventory.
  • Coordinate office recycling and disposal programs.
  • Manage relationships with office vendors and service providers.
  • Assist in planning office events, team meetings, and employee activities.
  • Maintain inventory of IT equipment, office supplies, and company assets.
  • Receive, organize, label, and distribute equipment to employees.
  • Coordinate equipment returns and inventory reconciliation.
  • Monitor inventory levels and proactively reorder supplies.
  • Maintain accurate inventory records and asset tracking documentation through Sortly.
  • Coordinate routine maintenance, registrations, inspections, and repairs for company vehicles.
  • Schedule vehicle cleaning and upkeep.
  • Track vehicle mileage, maintenance schedules, and related documentation.
  • Coordinate office maintenance requests and facility improvements.
  • Run business-related errands including banking, vendor pickups, equipment deliveries, and other operational needs.
  • Assist with invoice processing, expense tracking, and vendor documentation.
  • Maintain organized operational records and files.
  • Support executive leadership with administrative and operational projects.
  • Provide administrative support across departments as needed.
  • Maintain professionalism while interacting with vendors, clients, and employees.
Required Knowledge, Skills, Abilities
  • Strong attention to detail with the ability to manage multiple priorities.
  • Ability to work independently with minimal supervision.
  • Strong customer service mindset.
  • Excellent written and verbal communication skills.
  • Ability to maintain confidentiality.
  • Experience coordinating vendors and managing office operations.
  • Comfortable lifting and moving office equipment and supplies.
  • Proficiency with Google Workspace and standard office software.
  • Ability to solve problems proactively and anticipate organizational needs.
Minimum Qualifications
  • Must be at least 19 years of age.
  • 3+ years of experience in office management, operations, executive administration, or similar role.
  • Valid driver's license with an acceptable driving record.
  • Reliable personal transportation with proof of insurance.
  • Ability to safely operate company vehicles when necessary.
  • Must be authorized to work in the United States.
