Project Coordinator + Construction + Omaha
If you know your way around Sage and HCSS and enjoy being the person who keeps construction projects organized behind the scenes, this could be the role for you. This role offers the opportunity to step into a key support role with our client, an established heavy civil contractor. You'll work closely with an experienced team member, learning critical project processes while providing much-needed support across job setup, cost data, contracts, documentation, and project administration.
What You'll Do
- Assist with new project setup following contract award, ensuring job information is accurately entered across systems.
- Transfer and validate project information between HCSS Heavy Bid, HCSS Heavy Job, and Sage.
- Enter and maintain job numbers, cost codes, phases, budgets, and other project data.
- Provide ongoing data entry and project administration support within Sage and HCSS.
- Assist with contracts, subcontracts, vendor agreements, purchase orders, and change orders.
- Maintain organized project records and track required documentation throughout the project lifecycle.
- Coordinate with project management, estimating, accounting, payroll, and operations to keep project information accurate and consistent.
- Track subcontractor and supplier documentation, including insurance certificates, agreements, compliance items, and lien waivers.
- Assist with budget updates, job cost information, and routine reporting for Project Managers.
- Support project closeout, including final documentation and record organization.
- Serve as a reliable administrative resource to Project Managers and other members of the construction team.
What They're Looking For
Must Have:
- Previous experience working with Sage accounting software.
- Previous experience with HCSS, ideally Heavy Job and/or Heavy Bid.
- At least 2 years of experience with a general contractor, subcontractor, or similar construction environment.
- Strong attention to detail and comfort working with project, cost, and contract data.
- Ability to stay organized while managing multiple priorities and deadlines.
- Strong written and verbal communication skills.
Great to Have:
- Heavy civil, underground utility, excavation, or related construction experience.
- Experience supporting project startup and closeout.
- Familiarity with construction contracts, subcontracts, change orders, and compliance documentation.
- General understanding of construction-related insurance requirements.
- Experience supporting job costing or project accounting processes.
