The HR & Finance Specialist will assist with employee onboarding and offboarding, benefits administration, recruiting coordination, payroll support, accounts payable processes, vendor communications, recordkeeping, compliance tracking, and workflow improvement initiatives. The role also supports the organization's use of technology, automation, and AI-assisted business processes to improve efficiency and scalability.
The successful candidate will manage multiple priorities, maintain confidentiality, communicate clearly, and collaborate effectively with employees, leadership, vendors, and business partners.
Essential Duties and Responsibilities Human Resources Coordination (45%)- Coordinate employee onboarding and offboarding activities.
- Prepare, maintain, and organize employment records and HR documentation.
- Maintain personnel files in compliance with company policies and applicable regulations.
- Assist with benefits administration, employee status changes, and annual open enrollment.
- Coordinate recruiting activities, including job postings, applicant tracking, interview scheduling, and candidate communications.
- Support employee training, certification tracking, and compliance documentation.
- Maintain employee information within HRIS and related systems.
- Prepare employment-related forms, correspondence, reports, and documentation.
- Support employee engagement initiatives and HR projects.
- Maintain strict confidentiality of employee and organizational information.
- Assist leadership with HR coordination, reporting, and special projects.
- Support pre-payroll administration and payroll preparation activities.
- Review and compile payroll documentation for management review.
- Facilitate invoice approvals and coordinate invoice processing.
- Assist with accounts payable documentation and vendor payment inquiries.
- Serve as a primary point of contact for routine communications with vendors, benefits providers, banks, and other business partners.
- Coordinate vendor communications and track resolution of routine inquiries and requests.
- Organize and maintain financial records and supporting documentation.
- Support expense reporting and reimbursement processes.
- Assist with audit requests, compliance reviews, and financial reporting.
- Assist with banking, insurance, and vendor relationship activities.

- Support the implementation and maintenance of AI-assisted workflows and automation initiatives.
- Develop and maintain workflow documentation, standard operating procedures, and process improvement resources.
- Maintain organized electronic records and shared departmental resources.
- Identify opportunities to improve efficiency, consistency, and operational effectiveness.
- Support special projects and organizational initiatives as assigned.
Education and Experience
- Associate degree in Human Resources, Business Administration, Accounting, Finance, or a related field preferred. Equivalent combinations of education and relevant work experience will be considered.
- Two or more years of experience in human resources, accounting, payroll, office administration, bookkeeping, or a related business support role.
- Background supporting multiple business functions preferred.
- Familiarity with HRIS, payroll, bookkeeping, accounting, or business management systems preferred.
