Office Administrative Assistant
The Office Administrative Assistant performs administrative and secretarial support necessary to accomplish objectives established by the principals; adapts to the variety of responsibilities; presents a cheerful, positive image in contacts with students, staff, parents, guardians, and community; handles confidential matters relating to students, financial records, parents, staff and any other school related issues with integrity and professionalism.
Primary Responsibilities/Duties:
- Provides general secretarial, clerical and problem solving support to students, staff, administration, and families
- Community relations - answering phones, greeting and assisting visitors, admit via electronic system, process visitor badges
- Coordinates all aspects of field trip planning; registration, transportation verification and communication
- Coordinates building logistics and web-based registration for all after school activities
- In collaboration with administration, updates and maintains a live version of the Staff Handbook
- Updates and maintains building emergency drill information to be posted in classrooms and included in emergency handbooks
- Updates and maintains staff rosters, room assignments, extensions and contact information
- Works with the district's business office to update, maintain and submit building level payroll information for extra duties
- Maintains school records and Power School Database including generation of all reports for grading, midterms, report cards, state reports, and federal reports
- Maintains accuracy of State Student Information system (SIS)
- Assists administration with scheduling in Power School software
- Enrolls new students by meeting with family, educating on school procedures/policies, verifying residency, medical requirements, and providing school orientation information
- Assists with Residency Verification
- Produces labels & assists with mailings throughout the school year
- Understands website content, management and editing of online newsletter platforms
- Provides support to the PTO, where applicable
- Assists in the Nurse's office when needed
Qualifications:
- Experience with Microsoft Office
- Must be proficient with Word and have a strong knowledge level in use of Excel - Experience with Google Suite
- Must be proficient with Google Docs, Forms and Calendar applications - Familiarity with office machinery such as copiers, laminators, binding and postage machines
- Experience working with Power School student information system a plus
- Experience working with state related programs (SIS) preferred
- Knowledge of financial software desired
- Moderate degree of physical stamina. Ability to move freely to various locations within school settings.
- Frequent standing, walking, sitting, and bending.
- Frequent repetitive activities including hands, arms, and legs for clerical related work.
- Lifting of devices 40-80 lbs.
- Climbing of ladders 6'-10'.
- Exposure to noise and activity of a school setting.
