Plant Ops Administrative Assistant

The Plant Operations Administrative Assistant supports daily department operations by coordinating communication, scheduling, records management, and workflow activities. This position serves as a key point of contact for residents, staff, and vendors while ensuring efficient and organized administrative support.

Here are a few of the daily responsibilities of a Administrative Assistant:

  • Serve as the primary point of contact for Plant Operations requests and inquiries.
  • Enter, assign, and track work orders; escalate urgent or safety-related issues.
  • Coordinate schedules, meetings, vendor visits, and departmental activities.
  • Manage departmental records, files, reports, and documentation.
  • Prepare correspondence, notices, and communications for residents and staff.
  • Process invoices, purchase documentation, and departmental expenses.
  • Maintain calendars, meeting agendas, minutes, and follow-up action items.
  • Provide exceptional customer service to residents, staff, vendors, and visitors.
  • Assist with general administrative duties and process improvement initiatives.

Here are a few of the qualifications we need you to have:

  • High School Diploma or equivalent required.
  • Associate's degree in Business Administration, Office Management, or a related field preferred.
  • Minimum 3–5 years of administrative support experience, preferably in a facilities, operations, maintenance, healthcare, senior living, or multi-department environment.
  • Experience managing calendars, coordinating meetings, and supporting leadership-level staff.
  • Prior experience on basic billing, handling invoices, purchase documentation.
