Role Description The Front Office Assistant is a part-time, on-site role located in Orem, UT. This position is responsible for welcoming patients, checking them in and out, following all procedure workflows to coordinate next steps in treatment planning, and ensuring a smooth flow at the front desk. Daily tasks include answering phone calls, responding to inquiries, scheduling and confirming appointments, and maintaining accurate patient records and documentation.
The Front Office Assistant supports administrative and clerical functions such as handling correspondence, managing files, processing payments, and coordinating with clinical staff to support patient care. This role requires a professional, empathetic presence and the ability to provide a calm, organized front office experience for patients and visitors.
- Strong interpersonal skills with the ability to communicate clearly, demonstrate empathy, and build rapport with patients and staff.
- Professional phone etiquette and experience managing multi-line phone systems and patient inquiries.
- Proficiency in appointment scheduling, including coordinating provider calendars and confirming patient visits.
- Administrative assistance and clerical skills, such as data entry, filing, record management, and handling basic office correspondence.
- Experience with medical or behavioral health office environments and electronic health record (EHR) systems is beneficial.
- Ability to maintain confidentiality and follow HIPAA and clinic policies consistently.
- Organizational skills, attention to detail, and reliability in a fast-paced, patient-centered setting.
- High school diploma or equivalent required; additional coursework or certification in medical office administration is a plus.
Role is part time with room to grow into full time as you learn the role.
