Facility Coordinator - JLL
As a Facility Coordinator at JLL, you will support the Facility Management team, ensuring daily operations run smoothly. This entry‑level role combines administrative duties with hands‑on facility support, including procurement, vendor management, event coordination, and client service.
Responsibilities- Provide continuous monitoring of office and facility operations, acting as the primary interface with clients, visitors, and guests to ensure exceptional service delivery.
- Assist with tactical planning and execution of team goals, supporting project management initiatives as needed.
- Manage procurement processes, including issuing purchase orders, coordinating bid requests, and overseeing service and construction contracts.
- Coordinate maintenance activities and schedules, directing vendors and staff to maintain excellent execution with minimal disruption.
- Support special events, meetings, and conference room reservations in alignment with client needs and JLL requirements.
- Administer vendor security badging access, ensuring compliance with protocols.
- Assist with budgetary requests, analysis, and reporting, researching budget variances.
- Process accounts payable and receivable transactions accurately and timely.
- Handle facility management tasks such as office move coordination and additional assignments.
- Minimum 2–4 years of experience in facility or property administration.
- Superior customer service skills with a client‑oriented approach.
- Proficiency in Microsoft Office Suite, especially advanced Excel spreadsheet skills.
- Ability to maintain professionalism under stressful situations.
- Strong organizational and time‑management skills.
- Capacity to multitask effectively and work independently.
- Excellent written, verbal, and interpersonal communication skills.
- Associate or Bachelor’s degree in facilities management, building management, business, or related field.
- Experience in corporate or commercial real estate environments.
- Familiarity with facility management software systems and building automation platforms.
- Comfort working onsite and interfacing directly with clients daily.
- Demonstrated ability to balance multiple priorities in a fast‑paced environment.
Location: On‑site – Downtown Chicago, IL and Lisle, IL
Work Shift: Monday – Friday
Salary: $50,300 – $65,000 USD per year
