We are seeking a highly organized, professional, and proactive Office Manager to oversee the daily operations of a growing organization in Lisle, Illinois. This role is responsible for ensuring the office runs efficiently while providing administrative support to leadership and staff, maintaining a professional client experience, and managing office operations. The ideal candidate will have prior experience in a professional services environment, strong leadership skills, and the ability to manage competing priorities with discretion and attention to detail.
Key Responsibilities- Oversee the day-to-day operations of the office, ensuring a professional, organized, and efficient work environment.
- Serve as the primary point of contact for office operations, vendors, service providers, and building management.
- Welcome clients and visitors, ensuring a positive and professional experience.
- Manage incoming calls, correspondence, and general office communications.
- Coordinate conference room scheduling, meeting logistics, and client hospitality.
- Order catering and coordinate company meetings, events, and employee functions.
- Oversee office supply inventory, purchasing, and vendor relationships.
- Manage incoming and outgoing mail, deliveries, and courier services.
- Coordinate office maintenance, equipment repairs, and facility-related needs.
- Provide administrative and operational support to leadership and staff as needed.
- Support onboarding and offboarding activities, including workspace setup and technology coordination.
- Process invoices, track office expenses, and assist with budget administration.
- Maintain and organize office records, files, and document retention procedures.
- Coordinate with IT and technology vendors to ensure office systems and equipment function properly.
- Implement and maintain office policies, procedures, and operational best practices.
- Handle confidential and sensitive information with professionalism and discretion.
- Associate degree preferred;
High School Diploma or equivalent required. - 5+ years of office management, operations, administrative management, or related experience required.
- Experience managing office operations within a professional services environment preferred.
- Strong leadership, organizational, and problem-solving abilities.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
- Experience with document management systems is preferred.
- Ability to manage multiple priorities and deadlines in a fast-paced environment.
- Professional demeanor with strong interpersonal and customer service skills.
- High attention to detail and strong commitment to confidentiality.
- Ability to work independently while collaborating effectively with leadership, staff, vendors, and external partners.
