About Us:
OVC, Inc. is a digital marketing agency serving law firms throughout the United States. We are seeking a friendly, dependable, and organized Receptionist & Administrative Assistant to support the daily operations of our office in Lisle, Illinois.
Position Overview:
This person will often be the first point of contact for callers and visitors and will help maintain a welcoming, professional, and well-organized workplace. Responsibilities include answering phones, assisting visitors, ordering supplies, organizing shared office areas, communicating with property management and vendors, and providing general administrative support to the team. This is a fully on-site position. We are open to candidates seeking either a full-time or part-time schedule.
- Answer, screen, and direct incoming calls professionally and promptly
- Greet visitors and help create a welcoming office environment
- Keep the reception area, conference rooms, kitchen, and other shared spaces neat, organized, and presentable
- Order office and kitchen supplies and monitor inventory
- Receive, sort, and distribute mail, packages, and deliveries
- Communicate with property management regarding maintenance requests, building access, and other office needs
- Coordinate with vendors and service providers when needed
- Help schedule meetings, appointments, and conference calls
- Prepare conference rooms and assist with meeting coordination
- Assist with filing, scanning, data entry, document preparation, and other administrative tasks
- Provide general support to team members and management as needed
- Proactively identify routine office needs and help address them
- Previous experience in reception, office support, customer service, or an administrative role is preferred
- Friendly and professional communication skills, both over the phone and in person
- Strong organizational skills and attention to detail
- Dependable, punctual, and able to work independently
- Comfortable using email, calendars, and standard office software
- Able to manage multiple tasks and adjust priorities throughout the day
- Willing to assist with a variety of office responsibilities
- Able to handle sensitive information professionally and discreetly
