This position is essential to the day-to‑day success of our operations, providing administrative, scheduling, and accounting support while serving as a key communication link between office staff, field personnel, vendors, subcontractors, and customers. Responsibilities
  • Handle incoming/outgoing mail and packages.
  • Maintain organized filing systems (electronic and paper).
  • Perform clerical tasks: filing, scanning, copying, data entry.
  • Manage office supplies and inventory.
  • Schedule & Dispatch: coordinate warranty dispatch and production scheduling; assist with scheduling field personnel and managing calendars.
  • Accounting Support (AP/AR):
    Assist with Accounts Payable (invoice processing, vendor communication); support Accounts Receivable (invoicing, payment tracking, follow‑ups); maintain accurate financial records and data entry; document management; prepare reports, spreadsheets, and correspondence using Microsoft Office; maintain and organize electronic records.
  • Team Support: provide support to office and field staff; coordinate travel arrangements; communicate with vendors and subcontractors; assist with ordering materials and supplies; perform additional duties as assigned.
Qualifications
  • Minimum Education:

    None.
  • Minimum Years of

    Experience:

    0‑2.
  • 1+ year of administrative or receptionist experience.
  • Experience with scheduling/dispatch coordination.
  • Basic experience with AP/AR processes.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Strong organization and attention to detail.
  • Ability to multitask and meet deadlines.
  • Excellent communication skills.
  • Must successfully pass all required pre‑employment screenings, including background check.
  • Preferred: bilingual (English/Spanish).
  • Experience in construction or skilled trades.
  • Experience with Microsoft Dynamics.
Work Environment and

Physical Requirements
  • Ability to sit, stand, walk, bend, reach, and perform repetitive motions throughout the workday.
  • Frequently use a computer, telephone, copier, scanner, and other standard office equipment.
  • Ability to lift, carry, and move files, office supplies, and packages weighing up to 25 pounds.
  • Ability to maintain focus and accuracy while performing detailed administrative tasks in a fast‑paced environment.
  • Primarily works in a professional office setting with frequent interaction with office staff, field personnel, customers, vendors, and subcontractors.
  • Occasional visits to warehouse, shop, or jobsite locations may be required to support operations and coordinate activities.
  • May be exposed to varying noise levels and environmental conditions when visiting field or production areas.
  • Ability to manage multiple priorities, adapt to changing schedules, and meet deadlines in a dynamic work environment.
  • Occasional overtime or flexible work hours may be required based on business needs.
  • Regular, reliable, and punctual attendance is an essential function of this position.
