Position

Purpose

The Executive Assistant – Global Touring & Producing is responsible for supporting the effectiveness of the Chief Executive by protecting executive capacity, reducing friction, anticipating needs, and ensuring priorities, relationships, and commitments are managed with consistency and care.
This role operates in a high-context, high-trust environment and serves as a practical operating partner to the Chief Executive. The Executive Assistant owns the systems and coordination required to keep the executiveoffice running effectively across calendar management, meeting readiness, travel, communication flow, visitor experience, relationship touchpoints, follow-through, family logistics, and special projects.

The role also works in close partnership with the VP, Market Operations to support the operating rhythm of the Global Touring & Producing organization. Together, they help ensure leadership priorities are translated intoaction, decisions are followed through, recurring meetings are well prepared, and cross-functionalcommitments remain visible and on track.
This is not a task-only administrative role. The Executive Assistant is expected to use judgment, operate independently, identify tradeoffs, and own issues through resolution. Success is defined by creating a calm, responsive, and well-coordinated executive environment in which the Chief Executive can focus on the highest-value work and stakeholders experience the office of Global Touring & Producing as thoughtful, prepared, and reliable.

Responsibilities
  • Own and manage the Chief Executive’s calendar as a strategic tool, balancing priorities,
    capacity, travel, preparation time, and key relationships.
  • Identify conflicts, surface tradeoffs, and protect focus time while ensuring alignment with
    business and personal commitments.
  • Coordinate scheduling across internal leaders, clients, partners, and external stakeholders with clarity and professionalism.
  • Prepare the Chief Executive for meetings with clear objectives, context, and required decisions.
  • Coordinate agendas, logistics, materials, and attendee readiness to ensure productive
    discussions and actionable outcomes.
  • Anticipate risks, sensitivities, and stakeholder dynamics for high-impact engagements.
  • Partner with the VP, Market Operations to support leadership meetings, operating reviews, and planning sessions.
  • Track decisions, action items, and commitments through completion, maintaining visibility on priorities and follow-ups.
  • Help translate executive direction into clear next steps across teams.
  • Manage communication flow across channels, ensuring key items are surfaced and addressed.
  • Draft professional communications on behalf of the Chief Executive as needed.
  • Build and maintain strong relationships with internal leaders, clients, partners, and stakeholders, ensuring a coordinated and responsive experience.
  • Coordinate executive travel end to end, including logistics, itineraries, and contingencies.
  • Plan and deliver high-quality visitor and guest experiences in partnership with local teams.
  • Support personal and family logistics with discretion and reliability.
  • Support special projects and cross-functional initiatives with clear coordination and follow through.
  • Maintain simple systems that improve visibility and efficiency within the executive office.
  • Exercise sound judgment, maintain confidentiality, and operate independently in fast-moving environments.
