Keller Bros. Dodge Ram is seeking an organized, dependable, and detail-oriented Administrative & Sales Assistant to support our sales, service, and accounting operations. This position is responsible for cashiering, vehicle inventory paperwork, deal processing, filing, and general administrative support.
Primary Responsibilities Cashiering and Accounting Support- Process customer payments for the sales and service departments.
- Reconcile and close the previous day's cashiering each morning.
- Forward checks, cash, and cashiering reports to the accounting department.
- Pull daily Valor reports for credit card reconciliation.
- File accounting copies of service and parts invoices.
- Collect driver fuel receipts and forward them to the logistics department.
- Route incoming mail and Fed Ex and UPS deliveries through interoffice mail.
- Retrieve new-vehicle invoices from Dealer Connect.
- Enter new vehicles into ASI and prepare vehicle folders and key tags.
- Assign stock numbers and prepare deal jackets and key tags for used vehicles purchased at auction.
- Prepare stock numbers and deal jackets for dealer-trade vehicles.
- Scan completed dealer-trade paperwork to accounting for check processing and flooring payoff.
- Coordinate dealer-trade checks with logistics or dealership management.
- File deal jackets for sold vehicles after completion by the title department.
- File deal jackets for unsold vehicles received through auctions and dealer trades.
- Pull and file deal jackets for vehicles sold wholesale.
- Review and package completed deals for the title department, ensuring all required documents are included.
- Send completed deal jackets to the title department using the designated pouch.
- Organize and file vehicle titles received from the title department.
- File MV-1 and MV-4 documents.
- Pull titles for wholesaled vehicles and forward them to the title department for processing.
- Monitor office and customer waiting-area supplies and submit replenishment requests.
- Prepare and ship sales-related paperwork and other items using the dealership's UPS account.
- Maintain accurate, organized, and confidential dealership records.
- Provide additional administrative support to the sales, service, and accounting teams as needed.
- Strong attention to detail and organizational skills.
- Ability to manage multiple priorities and meet daily deadlines.
- Dependable, professional, and comfortable working independently.
- Effective written and verbal communication skills.
- Basic computer and data-entry proficiency.
- Previous administrative, cashiering, accounting, or automotive dealership experience is preferred but not required.
- Ability to handle cash, checks, titles, and confidential documents accurately.
- Availability to work the full posted schedule, including Saturdays.
- Part-time:
Up to 28 hours per week - Tuesday-Friday: 12:00 p.m.–6:00 p.m.
- Saturday: 11:00 a.m.–3:00 p.m.
- Starting pay: $18.00 per hour
