Job DescriptionThe Payroll Coordinator performs a wide range of payroll related duties for the school district. Work requires initiative and independent judgment in the application of prescribed policies, procedures, and methods. Performs other duties related to the primary scope of the position as required.
Position Qualifications- Bachelor’s degree in Accounting, Finance, Business Administration, Human Resources, or a related field from an accredited college or university preferred.
- Minimum three (3) years of payroll, or related professional experience preferred.
- Experience with APSCN, eFinance Plus, or similar ERP/payroll systems preferred.
- Working knowledge of payroll processing, wage and hour regulations, tax reporting, and employee benefit deductions preferred.
- Strong attention to detail, organizational skills, and ability to maintain confidentiality.
- Proficiency in Microsoft Excel and other business software applications.
- Process accurate and timely semi-monthly payrolls for all district employees.
- Review employee contracts, salary schedules, supplements, stipends, and employment changes to ensure accurate payroll calculations.
- Gather, review, verify timesheets, leave records, supplemental pay documentation, and other payroll-related records prior to processing.
- Prepare payroll reports and reconcile payroll data before final processing and distribution.
- Maintain complete and accurate payroll records in accordance with district, state, and federal record retention requirements.
- Ensure compliance with federal, state, and local payroll laws, regulations, and reporting requirements, including wage and hour regulations, tax withholding, and new hire reporting.
- Prepare and submit required federal and state payroll reports, tax filings, and quarterly reporting as assigned.
- Assist with Affordable Care Act (ACA), ARTRS retirement reporting, unemployment claims, workers’ compensation reporting, and other regulatory requirements as assigned.
- Maintain payroll documentation to support audits and financial reviews.
- Collect, review, and maintain employee attendance, leave balances, compensatory time records, and absence documentation.
- Monitor payroll submissions for completeness, proper approvals, and supporting documentation.
- Communicate with supervisors/designee regarding payroll deadlines, corrections, and required documentation.
- Assist with payroll account reconciliations and payroll-related general ledger reviews.
- Support fiscal year-end and calendar year-end payroll processing activities, such as W-2 preparation, year-end balancing, and other annual payroll requirements.
- Create, maintain, and update payroll procedures, workflow documentation, and desk manuals.
- Reconcile payroll registers to the general ledger after each payroll cycle.
- Verify all payroll adjustments, stipends, extra duty pay, substitute pay, and overtime payments have proper approvals and supporting documentation.
- Process employee setup and separation transactions in coordination with Human Resources, including new hires, terminations, leave of absence, and employment changes.
- Reconcile insurance, ARTRS, TSA/403(b), HSA, garnishment, and other monthly payroll deductions.
- Foster a culture of collaboration, trust, accountability, continuous learning, and high expectations.
- Adhere to all district policies, procedures, and ethical standards.
- Maintain professionalism in appearance, communication, attitude, and actions always.
- Maintain regular attendance and punctuality to ensure departmental objectives are met.
- Perform other related duties as assigned by the Senior Director of Finance.
