We’re looking for a friendly and dependable Scheduler – Construction Support to play a key role in ensuring our construction projects run smoothly by coordinating workforce schedules, verifying time entry accuracy, and providing administrative support to the Construction Department.

Reporting to the Vice President of Construction, this position works closely with field supervisors, office staff, and project leadership to optimize labor utilization, support project execution, and maintain accurate records in alignment with company standards.

Key Responsibilities Include
  • Create, update, and maintain weekly and daily staff schedules for construction crews across multiple projects.
  • Coordinate with Superintendents and Project Managers to accurately assign labor based on project needs, skill sets, and availability.
  • Verify employee time entry for accuracy and completeness; resolve discrepancies with field staff and payroll/HR as needed.
  • Act as a central point of communication for schedule changes, delays, and resource reallocations.
  • Support administrative tasks, including documentation filing, report generation, and data entry into scheduling and project management software.
  • Assist with onboarding documentation and compliance tracking (licenses, certifications, safety training).
  • Communicate scheduling updates to field personnel via phone, email, and digital workforce solutions.
  • Track workforce allocation and generate utilization reports for construction leadership.
  • Foster strong coordination between field and office personnel to enhance operational efficiency.
Preferred Attributes
  • Experience with construction workforce planning or labor dispatching.
  • Knowledge of safety compliance and union reporting standards.
  • Strong problem-solving instincts and an ability to adapt to shifting priorities.
Required

Skills & Qualifications
  • High School Diploma or equivalent; associate or bachelor’s degree preferred.
  • Previous experience in construction scheduling, dispatching, workforce coordination, or administrative support.
  • Proficiency with scheduling and workforce management tools (Microsoft Excel, Outlook; ERP systems a plus).
  • Strong attention to detail with excellent organizational skills.
  • Ability to communicate effectively with diverse teams in person, by phone, and via electronic communication.
  • Comfortable working in a fast-paced, deadline-driven environment.
Ideal Candidate Background
  • Experience supporting construction, trades, or field-based teams in a scheduling, dispatching, or administrative coordination role
  • Proven ability to manage workforce schedules across multiple projects while balancing changing priorities
  • Background working closely with superintendents, project managers, and field personnel
  • Strong experience verifying time entry, attendance, and labor records with accuracy and attention to detail
  • Comfortable serving as a central communication hub for schedule changes, delays, and labor reassignments
  • Experience with Microsoft Excel, Outlook, and scheduling or workforce management systems (ERP experience a plus)
  • Familiarity with construction compliance requirements, including licenses, certifications, and safety training tracking
  • Known for being dependable, organized, and calm under pressure in fast-paced environments
  • Strong communicator who can interact confidently with both field crews and office leadership
  • Demonstrates a people-first, service-oriented mindset and genuinely cares about supporting team success
