Position Overview
The Executive Assistant (EA) provides high-level administrative support to executives, ensuring smooth daily operations and efficient workflow. This role requires excellent organizational skills, attention to detail, and the ability to handle sensitive information with discretion. It will assist the CEO and COO of the company with the following tasks.
Key Responsibilities- Office Management:
Handle office‑related administrative tasks, including answering phone calls, screening visitors, and coordinating meetings. - Calendar Management:
Schedule and manage appointments, meetings, and events for executives. - Document Organization:
Maintain and organize documents, records, and reports. - Communication:
Draft, edit, and respond to emails, memos, and other communications on behalf of executives. - Travel Arrangements:
Plan and coordinate travel itineraries, including flights, accommodations, and ground transportation. - Research & Reporting:
Conduct research, compile data, and prepare reports to support decision‑making. - Presentations & Project Assistance:
Create professional presentations and assist in various executive projects as needed. - Stakeholder & Customer Service Management:
Serve as a point of contact for internal and external stakeholders, ensuring a professional and responsive experience. - Other duties as assigned.
- Excellent communication skills (verbal and written).
- Strong organizational abilities and attention to detail.
- Proficiency in office software (Microsoft Office Suite, Google Workspace, and project management tools).
- Ability to handle confidential information with discretion and professionalism.
- Problem‑solving skills with a proactive mindset.
- Time management and multitasking abilities in a fast‑paced environment.
- Strong interpersonal skills to work collaboratively across departments.
- Project management experience is a plus.
- Associate’s or Bachelor’s degree in Business Administration, Communications, or a related field preferred.
- 3+ years of experience in an executive assistant or administrative support role.
- Experience in corporate environments, project management, or executive‑level support is highly desirable.
