Position Summary
Office Administrator supporting the Chief Development Officer and managing the Foundation Board. Works closely with the Donor Database and Services Associate, Programs Associates, Cause and Solution team, and Baptist Health’s internal financial and accounting departments for gift processing and reconciliation.

- Provide administrative support to the Chief Development Officer.
- Manage the Foundation Board and related documentation.
- Coordinate gift processing and reconciliation with internal financial and accounting departments.
- Perform day‑to‑day office operations such as phone duty, mail handling, and supply management.
- Assist staff during events, including support outside normal business hours, nights, and weekends when required.
- Maintain accurate records and reports for donors, employees, and patients.
- At least 2 years of college; college graduate preferred.
- Minimum of 3 years’ experience in office administration, preferably for an executive.
- Valid driver’s license and safe driving record.
- Proficiency in Microsoft Office Suite and Google Workspace.
- Exceptional verbal and written communication skills.
- Knowledge of basic accounting and bookkeeping procedures, including billing, invoicing, budget tracking, cash handling, and expense report preparation.
- Excellent attention to detail and strong organizational skills.
- Strong multitasking and time‑management abilities.
- Ability to lift at least 25 lbs.
- Proven ability to work independently and collaboratively within a team.
- Experience with increasing levels of responsibility and accountability.
- Demonstrated ability to work with diverse demographics and maintain strict confidentiality.
- Willingness to work occasional nights and weekend events.
