Asset Management Administrator
The Asset Management Administrator is responsible for the overall administration, budgeting, forecasting, accounting transactions, payroll, reporting, communication, file management, CMMS management, scheduling coordination and dispatching of EaaS Agreement(s).
Responsibilities include:
- Administration of Billings, Reporting and Collections.
- Provides daily support to the Operations Team to ensure that all requirements are achieved and documented in accordance with EaaS Agreement(s).
- CMMS Management, Tracking, Coordination, Reporting and Communication Internally and Externally.
- Scheduling, Dispatching, Communication and Reporting of all Preventive Maintenance & Repair Work Orders to appropriate internal and external personnel.
- Payroll Processing: ensure accurate employee time tracking, necessary documentation, and timely submission.
- Reporting: coordinate, develop and issue monthly & annual EaaS Agreement reports.
- Administers and Tracks Master Service Agreements, Purchase Orders, Subcontracts COIs and various other contracting types to assist Team with procurement and operational execution.
- Processes change orders, open/close of cost tracking mechanisms in accounting system.
- Manages Documentation File Structure of EaaS Agreement(s).
- Maintains Regulatory Documentation and Distribution to appropriate parties.
- Communication and assistance with EaaS, Client and Company events and functions.
- Properly maintain and procure office supplies with manager approval
- Assist Ops in new hire onboarding, including IT needs.
- Assist team in invoice coding and approvals as requested
- Prepare and submit client billings and lien releases
- Assist with the development of project documentation - daily reports, forecasting etc.
- Effectively & accurately communicate relevant project information to project team
- Reconcile tool and rental equipment list (if applicable)
Qualifications:
- Work well with others in difficult situations to solve customer issues and achieve positive results.
- Possess strong time management skills and ability to work under time constraints.
- Consistently demonstrate a positive attitude and strong work ethic.
- Experience in MS office, including Word, Excel, & Outlook.
- Effective verbal and written communication skills.
- Detail-oriented and willing to tackle various ongoing projects in a fast-paced environment.
- Versed in the industry and the Company's competitors.
- Ability to multitask and perform duties outside of the scope of work when necessary.
- Accounting, Bookkeeping, Clerical and Transactional Experience.
- Scheduling and Dispatching of work activities.
- Operational Experience.
- Payroll processing experience preferred
Preferred Education, Experience, and
Qualifications:
- High School Diploma
- Technical and/or Bachelor Degree preferred
- Experienced in Accounting and Operations.
- 3 years administrative experience
Travel Requirements:
- 0-5% of time will be spent traveling to job site(s)/office location.
