Position Overview

The Patient Care Coordinator at Ortho Arkansas is a vital member of the Rheumatology team, responsible for delivering a seamless and compassionate patient experience from check‑in to clinical support. This role combines administrative duties, insurance coordination, and clinic assistant responsibilities to ensure every patient feels supported—clinically, financially, and emotionally—while contributing to the operational success of the clinic.

Key Responsibilities
  • Patient Interaction and Check-In/Out
  • Greet each patient warmly to create a positive and welcoming first impression.
  • Efficiently check patients in and out while ensuring accurate documentation and workflow.
  • Collect copays and outstanding balances and verify referrals as needed.
  • Update and maintain accurate patient demographic information in the system.
  • Insurance Coordination
  • Obtain prior authorizations for medications in a timely and accurate manner.
  • Secure medication approvals with insurance providers to prevent treatment delays.
  • Process and follow up on insurance prior authorizations to ensure medication access is uninterrupted.
  • Administrative and Billing Support
  • Gather and process charge tickets, including faxing and scanning as needed.
  • Respond to staff and patient inquiries related to billing and account balances.
  • Ensure documentation accuracy and task completion within the Electronic Health Record (EHR) system.
  • Communication and Coordination
  • Answer and return phone calls and patient voicemails in a timely and professional manner.
  • Collaborate with clinical staff to maintain patient flow and readiness for care.
  • Communicate effectively with internal departments and external organizations to enhance clinic efficiency.
  • Clinic Assistant Support
  • Prepare patients for examinations, including rooming, taking vitals, and documenting chief complaints.
  • Provide patient education as directed by providers on medications, wound care, durable medical equipment, and discharge instructions.
  • Facilitate prescription refills, prior authorizations, and referrals per established protocols.
  • Coordinate imaging, lab work, and external services as ordered by the provider.
  • Answer calls and respond to patient messages, relaying information to providers as appropriate.
  • Additional Responsibilities
  • Perform other related duties as assigned to support the patient experience and clinic operations.
Qualifications

Education & Experience:

  • High school diploma or equivalent required.
  • Minimum of 1 year in a customer service role, preferably in a healthcare setting.
  • Experience in financial counseling, billing, or insurance coordination preferred.

  • Strong verbal and written communication skills.
