Responsibilities:
- Process and manage accounts payable invoices, including matching to purchase orders, coding expenses, and routing for approval.
- Retrieve invoices from vendor portals and third-party systems while ensuring timely and accurate entry.
- Reconcile vendor statements and promptly address any discrepancies, including outstanding invoices and credits.
- Handle vendor and internal inquiries efficiently, providing clear and thorough communication.
- Prepare and execute vendor payments via check, ACH, and online payment platforms.
- Assist with daily banking tasks such as running reports, reconciling accounts, and processing deposits.
- Scan, distribute, and organize incoming mail, invoices, and statements for accurate record-keeping.
- Support cash management activities and assist in account reconciliations related to accounts payable disbursements.
- Collaborate with the accounting team on acquisition integrations and other accounting tasks as needed.
- Ensure compliance with lien waiver requirements by reviewing and collecting necessary documentation. Requirements - Proven experience in accounts payable processes, with 3-5 years in a similar role.
- Strong organizational skills and attention to detail to ensure accuracy in financial tasks.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Proficiency in Microsoft Office, particularly Excel, with knowledge of accounting or construction management systems being a plus.
- Excellent written and verbal communication skills to interact effectively with vendors and internal teams.
- Positive attitude and adaptability to learn new processes and tools.
- Preferred experience with Vista software and familiarity with the construction industry.
- Bachelor's degree in Accounting, Finance, or a related field is preferred but not required.
