Patient Care Coordinator

We’re growing at The Village Bodywork for Families, and we’re looking for a kind, organized, and dependable individual to join our team as a Patient Care Coordinator
. This part-time, in-person position is the heart of our front office and the first friendly face our families see when they walk through the door.

Position Overview:

The Patient Care Coordinator is responsible for creating a welcoming experience for every patient, supporting day-to-day office operations, and helping our practice run smoothly. This role requires a friendly attitude, attention to detail, and the ability to multitask with grace.

Key Responsibilities:

• Greet patients warmly and check them in for their appointments
• Schedule appointments and manage patient flow using the Jane platform
• Collect payments and issue receipts
• Answer incoming calls and return messages
• Monitor and respond to emails in the front desk inbox
• Perform opening and closing office duties (e.g., tidying reception area, preparing rooms)
• Provide light marketing support such as updating flyers, assisting with social media, or organizing event materials
• Assist with therapies or basic exam prep (non-licensed support)
• Support general office organization and maintain a calm, welcoming environment

Qualifications:

• Prior experience in reception, customer service, or office administration preferred
• Familiarity with Jane or similar scheduling/EHR platforms is a plus (training provided)
• Strong communication and interpersonal skills
• Organized and dependable with a proactive, team-oriented attitude
• Comfortable with light computer and phone work
• Interest in wellness and a heart for serving families and children
• Status: Part-time
• Schedule: Monday-Friday
• Location: In-person at our cozy, family-friendly practice
• Pay: $18-20 per hour*

* The ideal candidate would be a chiropractic assistant, physical therapist, personal trainer, or someone with an interest in growing in the bodywork profession. (Pay and hours would be adjusted accordingly.)
