We are seeking a detail-oriented and organized Receptionist / Administrative Assistant to support the Human Resources department. This role combines administrative duties with front desk reception responsibilities. The ideal candidate will ensure the smooth operation of front desk activities, while maintaining professionalism and confidentiality at all times.
Job Duties:
Uses knowledge of company products and employee functions to direct calls, deliveries and guests to appropriate destinations.
Greets guests and announces their arrival to internal customers via telephone.
Answers telephone and directs calls to appropriate party.
Announces delivery arrival of internal customers via telephone and manages gate access to company grounds.
Orders, stocks and maintains office supply inventory.
Occasionally processes Fed Ex packages.
Occasionally books reservations and orders lunch for guests as well as plans some special events, either directly or as the liaison with the corporate travel agent.
Assist with day-to-day HR operations and administrative tasks.
Maintain and update employee records in both digital and physical formats.
Answer employee questions and directs them to the appropriate person or resources.
Maintain HR databases and ensure data accuracy and confidentiality.
Assist in organizing company events, training sessions, and meetings.
Perform general office duties such as filing, scanning, and responding to emails.
Uphold strict confidentiality of sensitive employee and company information at all times.
Job Requirements:
High school diploma or equivalent; associate or bachelor's degree in HR or related field is a plus
Proven experience as an administrative assistant, receptionist, or in a similar role
Familiarity with HR software, systems, and processes preferred
Strong organizational and time-management skills
Excellent written and verbal communication skills
Professional demeanor and strong interpersonal skills to interact with employees and visitors
Ability to handle confidential information with a high degree of professionalism and discretion
Proficient in Microsoft Office Suite (Word, Excel, Outlook)
