Pride Staff is partnering with a well-established and growing construction company in Livingston, NJ to find a reliable, sharp, and detail-oriented Bookkeeper / Administrative Assistant
. In this dual-function role, you will be the backbone of the office, managing daily financial records and ensuring administrative operations run seamlessly.

Job Responsibilities:- Full-Cycle Bookkeeping: Manage Accounts Payable (AP) and Accounts Receivable (AR), including invoicing, tracking vendor payments, and client collections.
- Payroll Processing: Process weekly payroll for field staff, ensuring accurate hours, certified payroll compliance, and union reporting (if applicable).
- Job Costing: Track project expenses, change orders, and material costs against active budgets.
- Document Management: Prepare, organize, and file construction-specific documentation, including contracts, certificates of insurance (COIs), permits, and lien waivers.
- Office Administration: Answer incoming calls, greet visitors, manage office supplies, and provide general administrative support to project managers and executives.
- Reconciliation: Perform monthly bank and credit card statement reconciliations.
- Experience: 2–4 years of bookkeeping and administrative experience, preferably within the construction or skilled trades industry.
- Software Proficiency: Strong working knowledge of Quick Books and Microsoft Office (Excel, Word, Outlook).
- Industry Knowledge: Basic understanding of construction accounting practices (job costing, progress billing/AIA billing is a major plus).
- Skills: Exceptional organizational skills, high attention to detail, and the ability to multitask effectively.
- Communication: Strong verbal and written communication skills to interface confidently with clients, subcontractors, and vendors.
