Job Summary:
The Service Parts Coordinator takes a key role in the development of the business by processing incoming RFQ’s and orders from customers, coordinating and managing the procurement of parts to fulfill those requests, and executing on‑time deliveries to customers that exceed their expectations for quality and professionalism. The Service Parts Coordinator will extensively use People Soft to develop and maintain BOM’s, manage orders, manage cost and timing of incoming materials, and process shipments.

Proactive and professional communication will be a key requirement in the role as the Service Parts Coordinator will be responsible for analyzing and communicating program status to our team, discussing orders and order status with customers, and communicating with all groups internally to drive the business.

As a Service Parts Order Specialist, you will:

• Receive purchase orders from customers, initiate component kick-off of internally and externally sourced parts, and monitor progress of sourced parts from suppliers
• Create and update manufacturing bill of materials and production routers in People Soft for service parts and occasionally assist with program spare parts
• Meet with internal manufacturing departments and purchasing to monitor progress of manufacturing services to ensure on time delivery to support order due dates
• Prepare requests for quote to internal departments to include correct release level drawings and specification of quality requirements
• Proactively and professionally communicate open quotes, customer orders, and part procurement status to program manager
• Track overall component manufacturing labor/cost variances to compare with cost budget
• Monitor progress of internal and external manufacturing services and purchased items to ensure on time delivery to support customer order due dates
• Interact with department inventory lead and assembly group lead to coordinate assembly and prepare order for final packing and crating
• Create packing list and commercial invoice, coordinate shipping arrangements, and communicate tracking information to customer

Minimum qualifications to be considered:

• Minimum high school diploma or equivalent
• Minimum 2 years of administrative or coordination experience
• Experience with material inventory control software required
• Excellent working knowledge of warehouse management operations
• Must be able to thrive in a dynamic, fast paced environment, be a self-starter with a sense of urgency and personal responsibility to support the flow of operations
• Good working knowledge of MS Word & Excel
• Excellent communication and organizational skills

A successful candidate may also have:

• Peoplesoft experience
• Warehouse experience
• Logistics experience
