Office Manager – Flexible, Multi-Tasker, Experienced in Small Office Operations
We are seeking a proactive and organized Office Manager to join our team in Livonia. The ideal candidate is flexible, able to multi-task, and experienced in managing the day-to-day operations of a small office. This role reports directly to the President and ensures that customers are supported and projects are completed efficiently, on time, and within budget.
Key Responsibilities- Oversee all office operations, including phone systems, internet, web hosting, cell phone contracts, property maintenance, IT coordination, and employee events.
- Manage payroll, international and domestic wire transfers, bank deposits, cash flow, and auto assets.
- Handle human resources duties, including new hire reporting, benefits coordination (medical, IRA, 401k), automotive insurance, workers’ compensation, and safety training.
- Ensure compliance and reporting with city, state, and federal government entities.
- Support the President with daily correspondence, meetings, and travel arrangements.
- Assist with customer inquiries, including preparing quotes, processing orders, managing shipments, invoicing, and accounts receivable follow-ups.
- Prepare UPS/Fed Ex and international shipments, working with freight forwarders for domestic and international logistics, including coordination of riggers for heavy machinery.
- Answer and direct phone calls, manage office supplies, and assist with travel arrangements for technicians.
- Collaborate with the German marketing department on newsletters and event materials as needed.
- Collect and review employee expense reports and receipts.
- Assist with month-end reporting in collaboration with external consultants.
- Complete credit applications and new vendor forms, ensuring supplier certificates of liability insurance are up to date.
- Minimum 5 years of office management experience.
- Human resources experience, particularly in benefits administration and employee records, preferred.
- Logistics experience with domestic and international operations preferred.
- German language skills are a plus.
- Proficiency in Microsoft Word, Excel, Outlook, and Access.
